Job Description
As part of the MLSEPeople & Inclusion team you will have the unique opportunity tosupport our HR Technology and Communications team as we complete two key software transitionsthis this experience you will gain hands-on exposure to HROperations learn how to manage large-scale system transitions and develop skills in data management problem-solving and process improvement. Responsibilities:
Document Digitization and Organization
Audit and verify existingdigitalrecords to ensure completeness and accuracy.
Maintain a standardizedfolderandnamingstructure to ensureorderlyandeasy access to all digitized documents.
Collaborate with HR team members toidentifyand resolve any gaps or discrepancies in documentation.
System Transition Support
Assistwiththecarefulmigrationofdata between systemstoensureaccuratetransfer ofcontent andrecords.
Conductdataaudits tovalidatethe completeness and accuracy of information during transition.
Performtesting toidentifyissues in the newprocessand communicate findings to the HRtransitionteam.
Support training sessions by preparing materials and assisting employees in understanding new system features.
Coordinate with employees to collect feedback andidentifychallenges during the transition.
Administrative and Operational Support
Using various Outlook HR Support mailboxes respond to employee inquiriesregardingsystem transitions andprovide assistanceas needed.
Maintain regular progress reports and provide updates to HR leadership on transition timelines and milestones.
Support HR team members in related tasks such as preparing communications and updating policies as needed.
Process Improvement and Recommendations
Identifyopportunities to streamline and improve digitization and system transition processes.
Provide insights and suggestions to enhance the efficiency and user-friendliness of new systems.
Compliance and Confidentiality
Ensure compliance with data privacy and security standards throughout the transition processes.
Maintain confidentiality of sensitive HR data and information at all times.
Qualifications:
Skilled user ofMicrosoft Officeproducts (Word PowerPoint Excel); comfortable providing updates to senior leadership in PPT using data insightsacquiredthrough Excel and respondingin a timelymannerto emails via Outlook
Strong communicationskills (verbal written and visual) to collaborate with team members across all levels
Ability to work independently and as part of a team in a fast-paced environment
Highly organized with the ability to work on multiple projects / programs with challenging timelines
Creativecuriousand engaged approach tooptimizingorganizational culture initiatives
Accountable for accuracy and timeliness of work within the department
Personal integrity when handling confidential information
Growth mindset withan eagernessto learn more about HR
Familiarity with HR Software (Workday) an asset
Previousinternship experience in an HR related field is an asset

Required Experience:
Intern
