Position Description

The Executive Assistant and Board Liaison provides administrative support to the President and CEO of the Library Foundation of Los Angeles and serves as the primary point of contact to the LFLA Board of Directors. This role drives efficiency and organization for the President and CEOs office. As a liaison to our nearly 40 high-profile Board members this individual will plan and execute multiple hybrid and in-person meetings on a quarterly basis. You will work in a hybrid capacity mirroring the Presidents schedule that is typically at least 3 days/week onsite at the downtown LA office and 2 days or fewer remotely.


A successful candidate will be able to identify and solve problems independently displaying a high degree of initiative and a proactive mindset. This is an ideal role for an experienced and highly competent professional who is passionate about nonprofit management and serving the Los Angeles community. You will work at the highest level of the organization contributing your administrative excellence and board liaison expertise while gaining insight into all departments and functions overseen by the President and CEO.

Responsibilities

Executive and Administrative Support

  • Manage administrative tasks for the President and CEO including complex calendar management meeting coordination expense reporting and document organization.
  • Prepare meeting materials in advance including agendas briefing notes and background research for meetings with staff Board members donors and external stakeholders.
  • Draft and manage executive correspondence on behalf of the President; serve as a liaison to internal departments and external partners as appropriate.
  • Assist with planning and execution of virtual and in-person meetings and events including fundraising and donor engagements.

Board and Governance Support (Board Liaison)

  • Prepare and manage official Board and Committee correspondence; serve as a primary point of contact for Board-related matters.
  • Coordinate Board and Committee meetings including agenda development material collection OnBoard board book creation and accurate meeting minutes.
  • Support Board governance processes including member terms COI forms committee documentation charters policies and orientation materials.
  • Assist with Board recruitment nomination onboarding and ongoing engagement processes in coordination with leadership and Development.

Strategic and Organizational Support

  • Act as a trusted partner to the President and CEO by anticipating needs prioritizing requests and exercising sound judgment in managing competing demands.
  • Triage and manage communications directed to the Presidents Office determining appropriate next steps and escalation as needed.
  • Track organizational priorities timelines and deliverables to support follow-through on CEO-led initiatives.
  • Prepare high-quality written materials including briefing memos talking points and presentation decks for executive Board donor and public engagements.
  • Support annual planning cycles and major organizational initiatives (e.g. Central Library Centennial).
  • Other duties as assigned.
Requirements
  • Minimum of 810 years of experience supporting a CEO or senior executive preferably in a nonprofit government or mission-driven organization.
  • Demonstrated experience managing complex dynamic calendars and competing priorities with minimal supervision.
  • Exceptional executive-level writing editing and communication skills.
  • Strong organizational awareness sound judgment and discretion when navigating leadership dynamics and handling confidential or sensitive matters.
  • Proven ability to work independently anticipate needs and operate with a high degree of professionalism and accountability.
  • Experience coordinating high-profile meetings events and Board processes.
  • Familiarity with nonprofit governance and Board best practices.
  • Experience partnering with Development teams on donor engagement and fundraising operations (preferred).
  • High proficiency with Microsoft Office and collaboration tools; experience with Raisers Edge OnBoard Adobe products or similar systems preferred.
