The Opportunity
Reporting to the Manager HR Advisory Services the Wellness Coordinator provides comprehensive administrative and operational support to the Wellness Team (Disability Case Manager and Occupational Health Nurse). This role ensures efficient coordination of disability management processes compliance with legislative requirements and the smooth delivery of employee health and wellness programs. The position also supports Human Resources initiatives including attendance management pre-employment medicals and general administrative duties while maintaining a high level of confidentiality and accuracy.
Accountabilities
The ideal candidate for this role is organized process driven and has a great attention to detail. Must be comfortable working independently with the flexibility to change priorities as the needs of the department change. A strong working knowledge of Excel and Human Resources Information Systems (HRIS) is required.
Able to handle a fast-paced work environment while being able to handle sensitive and confidential information.
Provide support to the Disability Case Manager / Occupational Health Nurse including:
oPrepare/send Disability Management Package to employees
oBook and manage medical appointments.
oPrepare new medical charts and manage medical chart storage.
oSend out Disability Management Correspondence.
oDevelop statistics and reports related to Wellness initiatives.
oPrepare statistics for Drug and Alcohol testing.
oEnsure all legislative testing and screening is recorded and scheduled.
Provide general office support including filing data entry document preparation etc.
Other duties as assigned.
The successful applicant will be required to participate in all training programs applicable to this position and other related work. Qualifications
Education Successful completion of a two (2) year Office Administration/Office Management program or equivalent from a recognized educational institution. Knowledge and/or experience working with medical terminology.
Three (3) years experience in an office environment working within a position with similar duties and responsibilities. Proficiency in data entry typing filing spreadsheets and word-processing is required coupled with the ability to multi-task a variety of processes at once.
Experience in disability management occupational health or HR administration.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent attention to detail accuracy and confidentiality.
Strong communication skills both written and verbal.
Proficiency in Microsoft Office Suite and comfort working with confidential databases.
Ability to work collaboratively with multidisciplinary teams.
A combination of education and relevant experience may be considered.
