We are on a journey of continuous growth now looking for our next star a passionate Office Coordinatorwithin our Administrative capability. This position reports to the HR Manager and will work in Elkhart IN.

About the position

As an Office Coordinator in the Administrative team you will be involved in ensuring supplies and office resources are stocked coordinating office events and meetings and providing support to various teams. This role also acts as the point of contact for vendors manages site specific internal office communications and supports administrative tasks.

Your main responsibilities

Office Operations & Maintenance:

  • Coordinate day-to-day office operations across multiple local facilities with daily travel between locations ensuring all office resources are properly maintained and available at each site
  • Manage office supply inventory and process orders for new supplies as needed.
  • Handle communication and relationships with office vendors (e.g. cleaning services supply providers etc.).

Vendor Coordination & Contract Support:

  • Serve as the primary day-to-day point of contact for office-related vendors.
  • Support vendor relationships by coordinating services tracking performance and escalating issues as needed.
  • Assist with contract administration monitoring key dates and ensuring adherence to existing service agreements.
  • Gather pricing information quotes and proposals from suppliers to support contract reviews and renewals led by authorized stakeholders.

Administrative Support:

  • Assist in scheduling meetings and coordinating events.
  • Provide support for onboarding new employees ensuring they have access to office resources.
  • Act as the point of contact for internal office communications
  • Serve as a key contributor to continuous office improvement initiatives
  • Act as backup for phone and front desk coverage during the Administrative Assistants absence including participation in the phone operating queue

Compliance & Reporting:

  • Ensure adherence to corporate policies and procedures regarding office operations.
  • Assist with internal and external audits by preparing documentation and providing relevant reports.
  • Performs other duties as assigned.
