Position Summary
Deputy Director of Strategic Initiatives
Reporting to the Deputy Director the Senior Project Manager will have both internal and external facing responsibilities ranging from project and prospect management marketing and communications and framing key approaches. The Sr. Project Manager will partner closely with the Chief Strategy and Partnership Officer and Deputy Director for Strategic Investments to plan OSPs future growth and strategic response to Philadelphias needs. The Office of Strategic Partnerships (OSP) seeks a results-oriented Sr. Project Manager to spearhead the design implementation and sustainability of innovative initiatives practices and strategic partnerships aligning them with the overarching goal of making Philadelphia the safest cleanest and greenest city with economic opportunity for all.
Essential Functions:
Project Management
- Assist with the implementation and ongoing monitoring of a comprehensive grants lifecycle Customer Relationship Management (CRM) system to enhance the management of donor funder and partners relationships.
- Develop and maintain a list of funder opportunities for department portfolio ensuring accuracy completeness and up-to-date information for seamless donor communication and reporting.
- Provide ongoing support to staff on CRM usage including system features data entry protocols and best practices for donor stewardship.
- Monitor and report on CRM activity ensuring all donor engagements proposals and communications are tracked and compliant with organizational standards and timelines.
- Ensure that CRM data integrity is maintained by regularly auditing records and overseeing data validation processes
Prospect Management:
- Support the Chief Strategy and Partnership Officer and Deputy Director with working across City departments to facilitate successful partnership projects.
- Support cultivation and maintaining strong relationships with individual donors foundations corporations and other key stakeholders.
- Assist with coordination grant writing and approval of applications to secure funding and resources for City projects through grants sponsorships and donations from external partners.
- Track partnership outcomes and ensure accountability for reporting requirements and deliverables.
Support Strategic Philanthropy Planning:
- Assist departments in developing philanthropic strategies by providing data insights identifying funding opportunities and aligning department needs with overall City goals.
- Evaluate the current philanthropic activities history and resources available across City departments identifying strengths gaps and opportunities for improvement.
- Work closely with each assigned department to identify and assess their philanthropic goals needs and resource requirements for current and upcoming initiatives.
- Ensure departments are provided with the necessary resources tools and support for effective philanthropic planning and implementation.
- Create and maintain a comprehensive inventory of available philanthropic resources to ensure departments are fully supported in their partnership efforts.
- Track the usage and effectiveness of philanthropic resources providing regular updates and recommendations for improvements or adjustments as needed.
Marketing and Communication:
- Develop update and maintain the Office of Strategic Partnerships City webpage ensuring accurate and timely information for internal and external audiences including office overview content and links to the CRM.
- Prepare and maintain clear process maps and written guidance documenting funding request approval and post-award workflows for City departments and post materials in the CRM as required.
- Draft and edit written materials such as grant proposals talking points briefing documents and presentation content to support partnership development and fundraising activities.
- Gather and organize programmatic and funding-related data to support the preparation of written communications and presentation materials.
- Monitor and manage the Office of Strategic Partnerships shared email inbox by reviewing incoming messages responding to routine inquiries and escalating complex or time-sensitive items to senior staff.
- Ensure written communications web content and process documentation are consistent accurate and aligned with City and OSP messaging standards.
Qualifications :
- Degree in public administration business administration non-profit management or a related field. Masters degree (preferred).
- Minimum 5 years of experience in developing and managing strategic partnerships with foundations and other philanthropic organizations.
- Proven track record of success in designing and implementing innovative programs and initiatives.
- Excellent communication collaboration and interpersonal skills.
- Strong analytical and problem-solving skills.
- Ability to work independently and as part of a team.
