Salary:35000 - 40000 per annum depending on experience

Role Purpose

We are seeking an experienced and dynamic Events Coordinator to lead the delivery of a comprehensive events programme. This is a unique opportunity to work at the intersection of social innovation and technology coordinating multiple concurrent events that will bring together social enterprises technology experts corporate partners and stakeholders from across Irelands innovation ecosystem.

Over the 2.5-year contract period you will be responsible for the end-to-end coordination of diverse event formats including large-scale in-person workshops (up to 100 attendees) online workshops and webinars (20-50 participants) and intimate concentrated sessions (10 participants). During peak periods you will manage 10-15 events running concurrently over 2-month cycles requiring exceptional organisational skills and the ability to juggle multiple priorities simultaneously.

This role sits within the Business Development and Marketing team and works closely with the Project Management team and Fund Manager responsible for overall fund delivery.

Key Responsibilities

Event Planning & Delivery

  • Coordinate end-to-end delivery of fund events across multiple formats (in-person workshops webinars concentrated sessions showcases)
  • Source and manage venue selection booking and logistics for in-person events throughout Ireland
  • Manage online event platforms and technical infrastructure for virtual and hybrid events
  • Coordinate registration processes attendee communications and participant experience from initial invite through post-event follow-up
  • Develop detailed project plans and timelines for concurrent event delivery managing dependencies and critical paths
  • Ensure all events align with brand standards and deliver exceptional attendee experience

Content Creation Coordination & Stakeholder Management

  • Work closely with subject matter experts to develop and coordinate learning content
  • Facilitate content planning sessions and pull together materials from multiple contributors
  • Coordinate speakers panelists and facilitators ensuring they have briefings and materials needed
  • Manage relationships with corporate partners awardees technology sector partners and other key stakeholders
  • Act as primary point of contact for event-related queries and logistics
  • Capture content at each event (video photo) as per pre-shared briefing document to be developed with Rethink Ireland Communications team

Budget & Supplier Management

  • Manage event budgets and track expenditure against approved allocations
  • Source contract and manage relationships with suppliers (venues catering AV printing etc.)
  • Process supplier invoices and coordinate payments in accordance with organisational procedures
  • Maintain accurate financial records and reporting for all events
  • Prepare budget proposals and recommendations for approval by Business Development Director

Project & Systems Management

  • Maintain comprehensive event tracking and project management systems (Asana or similar)
  • Content Management System (CMS) maintain and update a CMS on a regular basis
  • Update Salesforce or equivalent CRM with event data attendance and stakeholder engagement
  • Generate reports on event delivery attendance feedback and impact metrics
  • Maintain organised filing systems for all event documentation contracts and materials
  • Support continuous improvement of event processes and systems

Collaboration & Support

  • Work closely with Business Development and Project Management teams on integrated delivery
  • Contribute to team meetings and organisational planning processes
  • Travel throughout Ireland for events as required

Carry out any other reasonable duties as required consistent with the level and purpose of the role

Required Skills & Experience

Experience & Knowledge

  • Minimum 2-3 years experience in events coordination and project management
  • Demonstrated experience managing multiple concurrent events
  • Experience coordinating both in-person and online/virtual events
  • Experience generating resources and materials to develop skills and knowledge (learning content).
  • Working knowledge of AI fundamentals and emerging technology (does not need to be expert-level)
  • Corporate events background preferred
  • Strong cultural and mission fit with the charity/nonprofit sector

Technical Skills

  • Excellent project management skills with demonstrated experience using project management tools (Asana Jira or similar)
  • Proficiency in Microsoft Office suite (Word Excel PowerPoint Outlook) and experience with Salesforce or other CRM systems
  • Familiarity with online event platforms and registration tools such as Eventbrite
  • Social Media competency LinkedIn (Required) Instagram TikTok Meta
  • Working knowledge of Canva and Capcut or other design and video editing packages

Role Requirements

  • Full clean driving licence for travel throughout Ireland where public transport is not available.
  • Flexibility to work occasional evenings/weekends as events require
