Job Summary

Job Description:
An Executive Assistant (EA) to a Director in a steel manufacturing companyprovides high-level administrative operational and strategic support to maximize the directors time and efficiency. The role often involves specific industry coordination such as tracking production and managing data/MIS related to manufacturing operations.
Key Responsibilities
  • Calendar & Schedule Management:Efficiently plan coordinate and manage the Directors daily schedule meetings and appointments.
  • Communication & Liaison:Act as the primary point of contact between the Director and internal/external stakeholders (including clients and government officials) handling emails calls and correspondence with professionalism and discretion.
  • Meeting & Event Coordination:Organize meetings prepare agendas record minutes and track follow-up action items. This may also involve planning corporate events or site visits.
  • Travel & Logistics Management:Handle comprehensive travel arrangements including booking flights accommodation transportation and managing itineraries and expense reports.
  • Documentation & Reporting:Prepare edit and organize important reports presentations and official documents. This often includes maintaining Management Information Systems (MIS) tracking KPIs and consolidating departmental reports.
  • Operational & Project Support:Coordinate with various departments (e.g. design production sales finance) to track project progress and ensure timely execution of action items.
  • Confidentiality & Discretion:Manage confidential and sensitive information with the utmost integrity.
  • Administrative & Office Management:Oversee general office operations manage expenses and budgets and maintain organized filing systems.
Qualifications & Skills
  • Education:A Bachelors degree in Business Administration Management or a related field is often preferred.
  • Experience:Typically requires a minimum of 2-5 years of experience in an Executive Assistant or similar administrative/managerial role ideally within a manufacturing or industrial environment.
  • Technical Skills:Strong proficiency in the Microsoft Office Suite (Word Excel PowerPoint Outlook) is essential with advanced Excel skills often desired for data analysis and reporting.
  • Soft Skills:
    • Excellent written and verbal communication skills.
    • Exceptional organizational time-management and multitasking abilities with keen attention to detail.
    • Proactive agile and solution-oriented mindset.
