Description of Work

This position provides executive-level administrative and operational support to the Director and senior leadership of the Division of Parks and Recreation. Manages central office operations and reception services; supervises administrative staff; coordinates complex scheduling extensive travel correspondence tracking and information management activities.

Key Responsibilities
Coordinate directors calendar and schedules meetings presentations and arranges travel logistics. Screen and route telephone calls mail visitors and appointments with discretion and confidentiality. Track correspondences and maintain comprehensive records for division staff.

Manages multiple tasks with competing deadlines. Prioritizes conflicting needs; resolves tasks expeditiously proactively and follows-through on projects to successful completion often with deadline pressures.

Serves as a primary point of contact to inquiries and requests from legislators agency staff and the public; responds professionally to written and verbal inquiries; reviews and edits official correspondence and documents; and prepares materials for meetings legislative briefings staff meetings and Council of State presentations.

Participates as a member of the divisions senior management team as an ad-hoc member and serves on various division and department committees and manages special projects as needed.

Leads and manages the Administrative Professional Council (APC); contributes to the development and implementation of division policies and procedures; provides guidance training and work standards for administrative staff statewide; and supports management planning research and priority-setting activities.

Candidates meet the minimum qualifications of this position if they meet the minimum education and experience listed onthe vacancy announcement. Vacancy specific knowledge skills and abilities (KSAs) and/or management preferences are notrequired. Applicants who possess the following are preferred:

  • Demonstrated experience providing executive-level administrative support.

  • Demonstrated experience coordinating and scheduling travel and expenses.

  • Demonstrated experience gathering and organizing information in preparation for meetings presentations and projects.

  • Demonstrated experience drafting editing and proofreading communications such as memos emails and other documents.

  • Ability to disseminate correspondences from the director and other senior management team members.

  • Ability to learn the familiarity of all aspects of division management and understanding the role and responsibilities of every program.

Position/Physical Requirements

  • Typical work schedule is Monday-Friday 8:00 AM - 5:00PM.

  • Must have a valid drivers license issued from within the United States or be able to obtain one within 90 days of employment.

Minimum Education and Experience

Bachelors degree preferably in business administration or a related discipline from an appropriately accredited institution;

OR

Associates degree in secretarial science business administration or a related discipline from an appropriately accredited institution AND two years of progressively responsible administrative/office management experience;

OR

High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.

Sign On Bonus Eligibility

To be eligible for a sign-on bonus the candidate must not have worked as a probationary permanent or time-limited employee in the last 12 months as an employee in North Carolina state government including without limitation the judicial system state executive branch agencies and the university system subject to the State Human Resources Act. Employee eligible for a sign-on must work at least 20 hours per week.
