With over 15 years of successful operations the business is led by a highly experienced principal who currently oversees all active files. As transaction volume continues to increase the firm is hiring its first dedicated offshore operations professional to support and eventually take ownership of short-sale coordination workflows. About the Role:
This is a full-time operational role responsible for managing the lifecycle of active short-sale files. The position is primarily bank-facing rather than customer-facing and focuses heavily on documentation lender submissions and structured follow-up. You will work directly with the principal receive hands-on training and grow into a trusted extension of the business.
Success in this role requires exceptional organization persistence in lender communication strong documentation discipline and the ability to manage multiple time-sensitive files without sacrificing accuracy. Over time the role may expand to include greater process ownership and client interaction.
Key Responsibilities:
- Manage and track approximately 4050 active short-sale files simultaneously
- Collect organize and securely store sensitive financial documentation such as hardship letters mortgage statements and borrower financials
- Prepare and submit complete short-sale packages through bank portals email or fax
- Follow up consistently with lenders to confirm receipt obtain status updates and identify next steps
- Maintain detailed and accurate notes within the internal file management system
- Track lender-specific requirements and workflows recognizing that each financial institution operates differently
- Proactively flag missing documentation delays or risks that could impact deal progression
- Ensure strict confidentiality and compliant handling of personally identifiable information (PII)
- Partner closely with leadership to maintain operational visibility across all active files
Qualifications & Skills
Hard Skills:
- Familiarity with U.S. banking mortgage foreclosure or loss mitigation processes
- Experience handling document-heavy workflows with high accuracy
- Comfort working with sensitive personal and financial data
- Experience submitting documentation through portals email workflows or similar systems
- Strong written English with clear professional communication
Preferred Experience:
- Background in mortgage servicing loan processing real estate operations foreclosure or loss mitigation
- Prior exposure to U.S.-based financial institutions
- Experience supporting bank-facing operational processes
Soft Skills:
- Extremely detail-oriented with strong organizational discipline
- Reliable and structured able to manage multiple files without losing visibility
- Persistent and professional in follow-ups with financial institutions
- High level of accountability and ownership
- Comfortable working Eastern Time hours consistently
