JOB TITLE: CENTRAL OFFICE RECEPTIONIST-BILINGUAL
FLSA STATUS: NON-EXEMPT
SALARY: $15.00-$17.90 PER HOUR
GENERAL STATEMENT OF JOB
Under general supervision performs skilled confidential and responsible secretarial work in support of the school systems Administrative Services building and the Human Resources Department. Contributes to effective school district public relations by prompt and courteous handling of all inquiries and visitors to the central office. Reports to the school system Assistant Superintendent for Human Resources. This person is required to be extremely trustworthy and maintain strict confidentiality.
DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS
- Greets all visitors courteously determines their needs checks appointments and directs or escorts them to the proper person.
- Answers the school system telephone and responds appropriately to requests for information.
- Directs all incoming US mail state courier mail and school courier mail to appropriate staff members.
- Translates central office documents
- Obtains gathers and organizes pertinent data as needed and puts it into usable form
- Provide clerical support to the Human Resources Department
- Other general office duties as assigned by the Assistant Superintendent
ADDITIONAL JOB FUNCTIONS
- Reports immediately the presence in the central office of any visitor who bypasses the reception desk or any suspicious activity or unusual behavior on the part of visitors.
- Assists in a variety of Human Resources office tasks.
- Uses a variety of software.
- Knows how to operate a computer at an advanced level.
- Uses general office machines such as copiers calculators computers etc.
- Gathers assembles and summarizes data and information.
- Participates in the duties related to the administration of an office.
- Performs other related duties as assigned by the Assistant Superintendent.
KNOWLEDGE SKILLS AND ABILITIES
- Ability to communicate effectively orally and in writing in both English and Spanish.
- Considerable knowledge of grammar spelling and punctuation.
- Considerable knowledge of modern office practices and procedures.
- General knowledge of the rules regulations proceduress and functions of the office.
- Ability to reason make judgments and maintain effective working relationships with others in the performance of assigned work.
- Skills of keyboarding with accuracy at the speed necessary for the position.
- Skills in operating a computer with a variety of software including word processing presentation and spreadsheet applications.
- Ability to deal with people in a tactful and effective manner and to use judgment and discretion in giving out or withholding confidential information.
- Ability to compile and summarize information.
- Ability to resolve problem situations with sound judgment.
- Ability to demonstrate proper telephone etiquette.
- Ability to maintain confidentiality.
- Ability to exercise independent judgment and initiative in completing work assignments.
- Knowledge of business letter writing and memos.
- Ability to compose correspondence independently.
- Ability to work in the absence of supervision.
MINIMUM TRAINING AND EXPERIENCE
Graduation from high school with preference given to an Associates degree in business management and three years of administrative assistant experience in an educational setting; or an equivalent combination of education training and experience that provides the knowledge skills and abilities required to perform the job functions.
MINIMUM STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
Technology Aptitude: Requires knowledge of Google products and a variety of other software. Must be able to create documents reports stationery correspondence databases and presentations using a computer or other wireless device.
Physical Requirements: Requires light physical work. Must be able to lift mail and boxes up to ten pounds. Must be able to sit at a computer for extended periods of time.
Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information. Includes giving instructions assignments or directions to others.
Language Ability: Requires the ability to read simple to complex forms. Requires the ability to communicate fluently in both English and Spanish.
Intelligence: Requires the ability to apply common sense understanding to carry out instructions furnished in written or oral form; to deal with problems involving several concrete variables in standardized situations.
Verbal Aptitude: Requires the ability to record and deliver information to explain procedures and to follow oral and written instructions. Must be able to communicate effectively and efficiently in Standard English.
Numerical Aptitude: Requires the ability to add subtract divide and multiply.
Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately when using a keyboard.
Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under moderate to high levels of stress. Must maintain strict confidentiality and be extremely trustworthy.
Physical Communications: Requires the ability to talk write and hear.
