Job Description Summary:
The Patient Service Specialist (PSS) is a patient-facing front-line administrative role responsible for coordinating and scheduling new patient referrals for a high-volume specialty clinic. This position serves as a primary point of contact for patients referring providers and internal care teams ensuring timely access to care while delivering a high standard of customer service. This is a backfill role with strong potential for permanent conversion based on performance and business need.
Responsibilities:

Manage and process incoming new patient referrals ensuring all required documentation is received accurate and complete.

Schedule new patient appointments according to clinic workflows provider templates and specialty-specific protocols.

Communicate effectively with patients referring offices and providers to obtain missing information or clarify referral details.

Maintain accurate up-to-date and confidential patient records in compliance with organizational and regulatory standards.

Support clinic operations by facilitating smooth patient flow and timely access to services.

Deliver consistent professional and compassionate customer service in a fast-paced clinical environment.

Act as an initial point of contact representing the clinic and organization with professionalism.
Qualifications Education:
Experience:

Minimum 1 year of referral management or patient scheduling experience in a healthcare or medical office setting.

Experience working in a specialty clinic or hospital environment is strongly preferred.

Demonstrated ability to manage high-volume calls referrals or scheduling workflows.
Skills:
-
Strong customer service and patient communication skills.
-
High attention to detail with the ability to manage multiple priorities.

Experience handling confidential patient information (HIPAA awareness).

Proficiency with Electronic Medical Records (EMR) systems preferred.

Strong organizational time-management and follow-up skills.

Comfortable working onsite in a patient-facing role.
