The Project Management Assistant provides administrative and clerical support to the Project Manager and project teams to ensure effective coordination tracking and documentation of project activities. This role is primarily on-site in Jacksonville and may offer limited remote work flexibility depending on project requirements.
The ideal candidate is highly organized bilingual (English/Spanish) experienced with project management tools and possesses strong communication skills.
Provide clerical and administrative support to Project Managers in day-to-day project execution.
Maintain and update project schedules work plans and task tracking using project management tools such as JIRA and Microsoft Project.
Track tasks milestones and deliverables escalating risks or delays as needed.
Coordinate on-site and virtual project meetings; prepare agendas document meeting minutes and follow up on action items.
Manage and organize project documentation ensuring proper version control and accessibility.
Prepare and distribute project status reports to internal and external stakeholders.
Support effective communication among cross-functional teams vendors and stakeholders.
Ensure compliance with project management processes methodologies and standards.
Provide additional administrative support related to budgets purchase requests invoicing or resource coordination as required.
Bachelors degree in Business Administration Project Management Engineering or a related field.
13 years of experience in administrative project coordination or project support roles.
Hands-on experience with project management systems such as JIRA Microsoft Project or similar platforms.
Bilingual English and Spanish (written and verbal).
Strong organizational and time management skills.
Excellent written and verbal communication skills.
High attention to detail and accuracy.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency in Microsoft Office (Excel Word PowerPoint Outlook).
Strong interpersonal skills and ability to work collaboratively with diverse teams.
Ability to work on-site with flexibility for limited remote work.
Familiarity with project management methodologies such as Agile Scrum or Waterfall.
Project Management certifications (CAPM PMP Scrum) are a plus.
Experience working in structured corporate or regulated environments.
