Job Summary
The Mass General Brigham (MGB) Radiology Academic Appointments Coordinator reports to the Program Director of Physician Operations and Academic Affairs. This position is responsible for a variety of tasks related to the appointment reappointment of MGB Radiology clinical and research faculty and trainees and promotion of our Academic Medical Center (MGH and BWH) faculty at Harvard Medical School (HMS). MGB Radiology is a dynamic department employing over 300 clinical radiologists and an equally large group of dedicated trainees and addition to providing clinical care our physicians are productive scholars in their subspecialties of Radiology and participate in the teaching mission of HMS.
Key Roles & Responsibilities
Initial Appointment of MGB Radiology HMS Faculty and Trainees
- Coordinate the search process required to appoint external candidates to the Faculty of Medicine at HMS. Request and obtain approval of all new searches and job advertisements in the electronic search portal. Solicit information on candidate interviews and on the selection process from division hiring managers and generate final search reports.
- Track nominations for initial faculty appointments as they proceed through departmental and institutional committees and subsequently to HMS for final approval.
- Input HMS appointment requests for new clinical trainees (residents and fellows) in radiology.
- Input HMS appointment requests for new research fellows and research associates employed in radiology research labs.
Annual Reappointment of MGB Radiology HMS Faculty and Trainees
- Coordinate the reappointment process for term faculty (Assistant and Associate Professors) by soliciting and submitting materials as required by HMS.
- Coordinate the reappointment process for annual appointees (Instructors Lecturers Clinical and Research Fellows) by soliciting and submitting materials as required by HMS.
- Work closely with the radiology research and educational administrative teams to identify fellows who have left and process terminations.
Academic Promotion of MGB Radiology HMS Faculty
- Working alongside the Radiology Faculty Affairs team of Academic Directors of Appointments and Promotions assists with all aspects of the faculty promotion process from initial nomination of candidates to preparation of dossiers for consideration at monthly meetings of the departments Appointments and Promotions Committee and the Radiology Executive Committee.
- With the Academic Directors of Appointments and Promotions work closely with candidates and their nominators to develop application materials for promotion. Keep candidates informed of feedback and of overall progress as they reach milestones.
- Responsible for day-to-day operations of the Radiology Appointments and Promotions Committee this includes accepting nomination materials from candidates preparing agendas and distributing materials to the committee prior to each meeting confirming attendance staffing meetings drafting minutes notifying approved candidates of next steps and working closely with candidates and Academic Directors in the preparation of dossiers for presentation at the Radiology Executive Committee and for submission to HMS.
Other Responsibilities
- Assist in any special projects or ad hoc requests for academic appointment data
- Other duties as assigned
Qualifications
- Bachelors Degree preferred
- Minimum of 3-5 years of administrative or program support experience
- Experience in academic medicine or similar industry is preferred
