Secretarial & Administrative Support
- Process expense claims accurately and in a timely manner.
- Handle incoming telephone calls with professionalism and courtesy.
- Provide document support including printing copying binding mailing and liaising with the DPU where required.
- Prepare and compile transaction bibles and coordinate postclosing activities.
- Archive documents and maintain filing systems in accordance with firm procedures.
- Perform CR searches and update relevant regulatory or listing rules where applicable.
- Maintain and update distribution lists and telephone lines.
- Assist with order bookings payment requisitions and other routine administrative tasks.
- Support calendar and inbox management for lawyers or team members.
- Provide team coverage to ensure seamless daytoday operations.
Business Development (BD) Support
- Assist with InterAction data entry and updates to ensure accurate client and contact information.
Meeting & Event Coordination
- Arrange practice and group meetings training sessions and internal/external events.
- Coordinate practice dinners lunches and drinks ensuring all logistical requirements are handled efficiently.
- Greet visitors and ensure their needs are met in a professional and welcoming manner.
- Manage seminar logistics including collecting questionnaires and handling external seminar applications.
Travel Coordination
- Arrange straightforward pointtopoint travel bookings including flights trains and taxis.
- Ensure itineraries are accurate and communicated clearly to relevant stakeholders.
Project Support
- Provide administrative support on projects as assigned ensuring timely and accurate delivery of tasks.
Qualifications :
- Strong command of both spoken and written English.
- Adaptable and willing to learn new systems; proficient in MS Word Excel and PowerPoint.
- Knowledge of locallanguage typing will be an added advantage.
- Proactive responsible and able to take initiative with a positive and professional attitude.
- Excellent teamwork skills and the ability to collaborate effectively across teams.
