Gaylord College of Journalism and Mass Communication BEAs #1 Media Program in the nation is seeking a Financial and Administrative Coordinator. This position provides professional financial and administrative assistance to the college by performing payroll personnel and administrative coordination accounting and financial analysis.
Essential Responsibilities:
- Manages day-to-day operations and acts as first point of contact for payroll operations communicating with faculty staff students and Shared Business Services as needed. Ensures correct and timely processing of position listings hiring and payroll actions in coordination with SBSC. Analyzes payroll extracts and actuals to ensure accuracy. Identifies and resolves complex problems contacting various offices as needed.
- Monitors the annual personnel budget coordinating closely with Director of Finance.
- Oversees accounts payable and receivable for the college directing and monitoring invoice processing cash deposits transfers reimbursements and scholarship payments ensuring accuracy of payments and deposits. Provides college support for Purchasing Card purchases.
- Monitors incoming payments for faculty and college programs and events including but not limited to all study abroad programs capstone campaigns Gaylord Hall Productions Creative Media Marketplace Midwinter Conference Top Jobs and more. Oversees credit card processing setting up marketplace stores reconciling activity and making corrections as needed.
- May negotiate with contractors and vendors as needed. Works with SBSC to set up new vendors ensuring a smooth onboarding process.
- Supports the Director of Finance and Administration managing departmental accounts maintaining budget and grant administration monitoring and ensuring funds are spent correctly.
- Provides faculty support with financial and payroll matters.
- Assists with the development implementation and interpretation of policies and procedures to ensure compliance with federal state and university policies and regulations
- Provides operational support acting as liaison to Sooner Card office to provide door access support to all faculty staff and students. Manages keys for the college. Creates and manages associated databases.
- Manages income associated with building space rentals.
- Performs various duties as needed to successfully fulfill the function of the position.
Required: Bachelors degree in accounting finance business management or related field.
Equivalence/Substitution: Will accept 48 months of related experience in lieu of the Bachelors degree.
Department Preferences:
- Experience working in payroll finance or administrative support
- OU or higher education experience
- Experience working with faculty and students.
- Ability and desire to perform different types of tasks throughout a given day ranging from handling of urgent requests to long-term planning and office administration
- Critical thinking skills including an aptitude to research collect and analyze data and prepare reports or responses to inquiries
- Welcoming and caring demeanor when interfacing with students alumni and other staff and faculty colleagues on campus
- Ability to learn new systems and processes
Knowledge Skills & Abilities:
- Working knowledge of office procedures and accounting processes
- Knowledge of Microsoft Office Suite
- Strong Excel skills including the ability to build and manipulate spreadsheets
- Excellent interpersonal skills
- Advanced computer skills
- Detail oriented for accuracy of data and information
- Highly organized and able to handle multiple projects and deadlines
