Job Summary

This is a remote position.

Summary
We are seeking a detail-oriented and organized Bookkeeper Assistant to support our dynamic team in the cosmetics industry. This role is essential in maintaining accurate financial records ensuring compliance with accounting standards and contributing to the financial health of a fast-paced innovative company. As a Bookkeeper Assistant you will play a pivotal role in managing day-to-day bookkeeping tasks including accounts payable and receivable general ledger maintenance invoice processing and financial reporting. Your work will directly support strategic decision-making budgeting and audit readiness helping us maintain transparency and operational excellence. With a strong focus on accuracy confidentiality and efficiency you will collaborate closely with finance and operations teams to ensure seamless financial workflows in a growing cosmetics brand environment.

Responsibilities
  • Process and verify vendor invoices purchase orders and receipts for accuracy and compliance
  • Maintain and reconcile accounts payable and accounts receivable ledgers
  • Assist in preparing monthly financial statements including balance sheets income statements and cash flow reports
  • Support the preparation of budgets and financial forecasts in coordination with senior finance staff
  • Ensure timely and accurate processing of employee expense reports and reimbursements
  • Reconcile bank and credit card statements with accounting records on a regular basis
  • Assist in managing general ledger accounts and maintaining chart of accounts integrity
  • Support year-end audits and tax preparation by organizing and retrieving financial documentation
  • Digitize and maintain financial records using cloud-based accounting software (e.g. QuickBooks Xero)
  • Collaborate with internal teams to resolve discrepancies and improve financial processes

Requirements

Requirements:
  • Associates or Bachelors degree in Accounting Finance or a related field (preferred)
  • 12 years of experience in bookkeeping accounting or financial administration
  • Proficiency in QuickBooks Online or similar cloud-based accounting platforms
  • Strong understanding of double-entry bookkeeping GAAP principles and financial reporting standards
  • Excellent attention to detail and high level of accuracy in data entry and record keeping
  • Ability to manage multiple tasks efficiently in a fast-paced environment
  • Strong organizational and time management skills with the ability to meet deadlines
  • Proficient in Microsoft Excel (including pivot tables VLOOKUP and formulas)
  • Familiarity with inventory and cost of goods sold (COGS) tracking in retail or manufacturing environments (a plus)
  • Knowledge of financial compliance and data security best practices
  • Ability to work independently and as part of a collaborative team
