Summary

This position serves as a Secretary to the Associate Director of Patient Care Service/Nurse Executive (ADPCS/Nurse Executive) for the El Paso VA Clinic El Paso TX.


Duties

Duties include but are not limited to the following:

  • Screens and refers calls and visitors to staff members and supervisors as appropriate.
  • Makes arrangement for meetings and conferences.
  • Serves as timekeeper for all ADPCS/Nurse Executive reports and provides backup timekeeping assistance for a variety of other services.
  • Communicates positively and effectively with patients family members and staff.
  • Handles routine matters including non-technical correspondence professionally.
  • Coordinates service level policies with supervisors and employees.
  • Handles requests for information and solves a variety of problems.
  • Protects patient information in accordance with agency policy.
  • Strives to meet the needs of all customers in a professional and courteous manner.
  • Reads all incoming correspondence and takes appropriate action.
  • Composes and edit letters reviews correspondence for format and proper attachment(s).
  • Schedules appointments for the ADPCS/Nurse Executives.
  • Coordinates all controlled correspondence for the ADPCS/Nurse Executives office and aligned services.
  • Performs other duties as assigned.
Work Schedule: Full Time Monday - Friday 8:00am - 4:45pm

    Qualifications

    To qualify for this position you must meet the following criteria:

    TYPING PROFICIENCY: This position requires the skills of a qualified addition to meeting the experience and/or education requirements you must be able to type at least 40 words per minute.
    PLUS
    SPECIALIZED EXPERIENCE: Applicants must possess one (1) full year of specialized experience at the next lower grade level GS-6 in Federal service. Specialized experience is defined as experience working in an office environment coordinating the administrative and clerical work maintaining and monitoring established schedules arranging conferences and making travel arrangements screening calls and visitors collecting data and preparing reports reviewing and drafting correspondence utilizing knowledge of correct grammar spelling and style utilizing office automation software such as Microsoft Office (Word Excel and PowerPoint) and serving as timekeeper. NOTE: Applicants wishing to receive credit for such experience must clearly indicate the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

    Physical Demands: The work is sedentary. Typically the employee may sit comfortably to do the work however there may be some walking standing bending and carrying of light items like papers or books. No special physical demands are required to perform the work.

    Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
