We are seeking to fill the position of Senior Finance Associate G7 based in the WFP Budapest Office (open to WFP employees in the Budapest Office only).

ORGANIZATIONAL CONTEXT:

WFP established a Global Business Service Centre in Budapest to host the Global Payments Solution (GPS) a shared services facility under the Corporate Finance Division. GPS centralizes WFPs accounts payable function to reduce the administrative burden on Country Offices allowing them to focus on core mission activities. The initiative aims to enhance operational efficiency improve data quality and internal controls and elevate service delivery standards across the organization.

At the G7 level job holders operate with independent responsibility for specialized financial work planning organization and coordination setting objectives and process improvement. They deal with issues that are often undefined and involve areas of uncertainty and complex inter-relationships. The instructions received are broad and the job holders are expected to consistently demonstrate a high degree of responsibility and initiative to respond independently to queries. Job holders have a level of expertise and knowledge to adapt and develop systems and processes in order to continually improve the level of support provided. They are expected to motivate and develop a team of support staff and/or are responsible for specialized support service(s) where the work is undertaken with the help of specially designed techniques methods and processes.

THE ROLE

To support planning and coordinate the delivery of Accounts Payable support services within the GPS team and supervise and provide guidance to a team of staff ensuring transparent and efficient use of financial resources. The Senior Finance Associate will supervise staff act as a technical escalation point and contribute to the continuous improvement of financial systems and processes.

S/he will provide support in the areas of (1) General Accounting (2) Accounts Payable and (3) Quality Assurance; the area of Quality Assurance focuses on the review of transaction processing ensuring compliance with Standard Operating Procedures (SOPs) control analysis and verification procedures.

Senior Finance Associates are expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. There is a requirement to use judgment in dealing with unforeseen problems daily.

KEY RESPONSIBILITIES (not all-inclusive nor exhaustive):

  • Co-ordinate and supervise work of other support staff and support their learning and development in management of financial resources to ensure services are delivered consistently and to the required standards.

  • Ensure payments are processed in a timely manner and resolve complex issues relating to payment request processing in line with WFP standards and GPS KPIs.

  • Act as an escalation point for procedural and technical support in accounts payable ensuring compliance with WFP financial policies and regulations. Bring any exceptional discrepancy or inaccuracy to the attention of the Head of the Unit and follow up on corrective actions.

  • Co-ordinate with other teams to ensure that all financial services are performed efficiently and in line with the needs of the wider team.

  • Participate in the development and implementation of financial policies and procedures interpret and assess the impact of changes and make recommendations on follow-up actions to support setup and implementation of proper accounting procedures systems and internal controls.

  • Contribute to the improvement of internal processes enhancement of corporate systems and design of tools to support transparent and efficient utilization of financial resources.

  • Conduct periodic quality assurance activities to ensure all process steps are performed accurately in alignment with established SOPs and report any discrepancies to Head of the Unit.

  • Monitor outstanding items on the service gateway platform to ensure timely payment request processing and/or initiate and achieve corrective actions.

  • Analyze financial and statistical reports based on the established frequency and provide recommendations for further actions to the Head of Unit or other staff to facilitate informed decision-making.

  • Post journal vouchers in the corporate system in line with the relevant SOP.

  • Perform other assigned tasks as required.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:

Education:Completion of secondary school education. A post-secondary certification in finance or related field is a distinct advantage.

Experience:Minimum 7 years of progressively responsible experience in finance including experience in data analysis and reporting.

Essential requirements:

  • Previous hands-on experience in delivering administrative support services within a service center environment is required.

  • Proven ability to coach and train staff in financial procedures.

  • Strong focus on accuracy and consistency with strong analytical data extraction reporting skills and logical thinking.

  • Proficiency in Microsoft Office Suite; required experience with ERP systems and Service Gateway tools.

  • Proven ability to deal with confidential and sensitive communication and information.

  • Attention to detail is essential to success in this position.

  • Good communication skills teamwork and client orientation skills and ability to work in a multicultural environment.

  • Proven positive performance record.

Language:Fluency (level C) in English language. Fluency (level C) or intermediate knowledge (level B) of another UN language: Arabic Chinese French Russian Spanish and/or Portuguese (a WFP working language) is a strong asset.
