Reporting to the Manager Finance the Research Finance Administrator provides financial support to research portfolios across multiple departments and affiliated institutions. The role ensures compliance with institutional and granting agency requirements assists with budget development and monitoring and prepares financial reports and reconciliations. The position works independently within established guidelines and collaborates with Principal Investigators (PIs) research teams and finance staff to maintain accurate financial records and support the effective management of research funds.
What You Bring
Education Training and Experience
Bachelors degree in Accounting/Finance or related discipline; plus four (4) years of experience in a related financial administration preferably in a research or academic environment. Completion of CPA academic prerequisites is an asset.
Skills and Abilities
Comprehensive knowledge of accounting principles and financial reporting standards.
Comprehensive process management and analytical skills.
Working knowledge of computerized financial systems and procedures.
Working knowledge of software programs such as Microsoft Office Suite (Word Excel and Access) and PeopleSoft.
Ability to communicate effectively both verbally and in writing with others at all levels of the organization.
Ability to organize and prioritize workload to meet deadlines and work under pressure with minimal supervision.
Demonstrated collaborative problem solving and creative solution abilities.
Ability to develop and maintain effective working relationships with internal and external stakeholders.
Physical ability to perform the duties of the job.

Your Day-to-Day
out financial administration for research portfolios ensuring compliance with institutional policies granting agency requirements and relevant legislation.
and monitors budgets for research projects and operating accounts including variance analysis and forecasting.
timely and accurate financial reports for Principal Investigators (PIs) research teams and leadership including actual vs. budget comparisons.
accounts across multiple systems (UBC PHC PHCRI and affiliated foundations) and resolves discrepancies.
budget summaries and account information are up to date on a period basis to provide financial management information to Researchers Managers and Leaders. Monitors and reviews administrative and expense accounts.
maintains reviews and analyzes financial information of core grant and donation funds and summarizes the information in a report via spreadsheets on a monthly basis. Provides action recommendations to remain on budget.
with financial components of grant applications and renewals including preparing supporting documentation and cost estimates.
and closes research accounts as required and maintains accurate financial records to support audits and reporting requirements.
financial systems such as Workday and PeopleSoft to process transactions maintain account structures and ensure data integrity.
to inquiries from investigators and staff regarding financial procedures and provides orientation and training on financial processes.
in working groups and meetings to improve financial procedures enhance operational efficiency and ensure compliance.
the timely processing of invoices payments and transfers with the support of Finance Clerk.
potential deficits recommends mitigation strategies and advises on cost-saving opportunities within research operations.
proper documentation and audit trails are always maintained for all financial transactions and records.
other related duties as required to support the effective financial management of research portfolios and PR Finance department.
