Glenorchy City Council is seeking a highly organised and detail-oriented Administration Officer (Education and Care) to support the effective operation of Councils Education and Care Services. This pivotal role ensures the accurate timely and compliant administration of enrolments financial processes and customer service functions contributing to high-quality outcomes for children families and the wider community.
About the Role:
The Administration Officer plays a key role in maintaining compliance with the Education and Care Services National Law and Regulations supporting quality improvement initiatives and ensuring smooth day-to-day service operations. The position works closely with families educators Council staff Services Australia and external software providers. Your day-to-day responsibilities will include:
- Maintain accurate records and documentation in accordance with the National Law and Regulations including enrolments attendance records financial reports and required registers.
- Ensure timely and compliant processing of Child Care Subsidy (CCS) requirements including enrolment submissions attendance reporting and liaison with Services Australia.
- Liaise with the services software provider to support enrolments and reporting requirements.
- Support the Nominated Supervisor with compliance monitoring including preparation for assessment and rating audits Quality Improvement Plans (QIP) policy updates and regulatory and Council reporting.
- Contribute to the development review and continuous improvement of administrative procedures and systems.
- Ensure confidentiality and information management standards are met including secure storage handling and archiving of sensitive child and family records.
- Coordinate administrative tasks relating to fees banking financial reconciliations EFTPOS and communication with families.
- Actively participate in the implementation review and ongoing improvement of the Service Quality Improvement Plan (QIP).
- Ensure compliance with the Australian Government Department of Education Child Care Provider Handbook and all other relevant legislation.
Position Hours: 30 hours per week
What youll bring:
To be successful in this role you will have:
- Certificate III or IV in Business Administration (or equivalent).
- Minimum two (2) years experience in a similar administrative role including experience with account management banking financial reconciliations CCS and EFTPOS.
- Advanced computer skills using Microsoft Office.
- Exceptional attention to detail and strong record-keeping skills.
- Proven ability to maintain confidentiality and legislative compliance.
- Excellent interpersonal and communication skills with the ability to engage professionally with educators families and stakeholders from diverse backgrounds.
- Strong organisational multitasking and time-management abilities.
