Description
Monadnock Family Services (MFS) seeks and Administrative Support Receptionist to provide administrative and computer support to staff as it pertains to client data and requests. Additional responsibilities include receptionist work to include computerized scheduling of appointments triaging phone calls and other duties as assigned to support the smooth operation of all MFS Services.
Reports to: Support Services Team Lead
Hours: Monday-Friday 35 hour a week
Location: Office-based
Primary Responsibilities
- Provides check-in service to clients issuing opening paperwork including payment plan information as needed and obtaining copy of insurance cards and copays as appropriate.
- Triages phone calls directing appropriately to Refill line Triage lines or voice mail. Takes detailed messages as needed and ensures all messages are handled in a timely manner and directed to the appropriate area.
- Retrieves answering service messages each morning and distributes in a timely manner.
- Maintains conscious awareness of the presence of clients in all waiting areas.
- Works collaboratively with the nursing staff regarding prescription refills for children adolescents and adults as requested.
- Assists Providers with appointment scheduling.
- Provides appointment reminder calls.
Team Responsibilities
- Assists in coverage for other reception desks as requested for lunch breaks vacations and call outs.
- Attends team meetings to ensure team is operating effectively and efficiently contributing ideas and problem-solving issues to enhance the overall teams performance.
- Performs general typing photocopying correspondence and faxing.
- Responsible for thoroughly communicating operational information at shift transition from one support staff to another.
- Other tasks as assigned.
Professional Conduct
- Develops and maintains positive professional interactions with internal and external stakeholders.
- Adheres to Agency and Program policy and procedures to ensure effective and efficient departmental operations.
- Maintains strict standards of confidentiality in all matters.
Requirements
- High school education or equivalent with a minimum of two or more years experience in an office setting.
- Ability to prioritize tasks work independently or as a team attention to detail and highly organized.
- Excellent communication skills.
- Ability to work with the public clients staff community providers in a professional manner.
- Ability to use Microsoft Suite products.
