Role Summary

As an Entry-Level Administrative Assistant (Remote) you will support daily operations by keeping records accurate organizing information updating spreadsheets and helping the team stay on track. Youll be responsible for routine administrative tasks basic data entry document organization and coordination support. Your work will directly impact team efficiency by ensuring the right information is available at the right time.

This is not a sit and wait role. You will have a clear checklist daily priorities and ongoing tasks that require attention to detail consistency and strong communication. Youll succeed if you enjoy structured tasks can follow instructions carefully and take pride in clean accurate work.

What Youll Do (Daily Tasks & Responsibilities)

Administrative Support & Data Entry

  • Perform data entry and record updates in spreadsheets and internal systems

  • Review lists for missing fields and correct formatting (names emails phone numbers notes)

  • Standardize records to match internal requirements (consistent capitalization spacing country/state formats)

  • Remove duplicates and identify conflicts in data (example: two records for the same person)

  • Organize and label documents so team members can locate items quickly

  • Maintain clean accurate trackers that reflect real-time progress

Remote Operations Support

  • Support internal workflows by updating status fields and keeping task boards current

  • Assist with basic coordination requests: confirmations reminders simple scheduling support

  • Create small summaries and updates for the team (daily progress notes completion totals)

  • Help improve organization by suggesting better file naming folder structure or tracker layouts

  • Follow SOPs (standard operating procedures) and flag issues that break the process

  • Communicate clearly when information is missing and request clarification appropriately

Quality Control & Accuracy Checks

  • Double-check entries before submission or handoff

  • Identify obvious errors: invalid emails incomplete phone numbers mismatched locations duplicates

  • Ensure the right information is placed in the right columns and labeled correctly

  • Track and report repeated issues so the team can prevent them from happening again

  • Maintain confidentiality and handle sensitive information responsibly

What Were Looking For

Were looking for someone who is dependable organized and comfortable working online.

Minimum Requirements

  • High school diploma required; college coursework or degree is a plus

  • Basic admin experience OR transferable experience (retail hospitality call center front desk internship etc.)

  • Comfortable using Google Sheets or Microsoft Excel (sorting filtering updating rows)

  • Strong attention to detail and ability to follow instructions

  • Strong written communication and professional tone

  • Ability to work independently from home and meet deadlines

  • Reliable internet connection and a laptop/desktop computer

Preferred Qualifications (Nice to Have)

  • Prior experience as an administrative assistant data entry clerk office assistant receptionist or virtual assistant

  • Familiarity with file organization tools (Google Drive OneDrive Dropbox)

  • Experience with task tools (Trello Asana ClickUp )

  • Experience working in a fast-paced environment where priorities shift

  • Typing speed of 40 WPM (helpful not required)
