AtkinsRéalis is looking for an Administrative Assistant (Project Administrator) to join the East Harbour Transit Hub Alliance project in Toronto. The person will be part of a high-performing project team that is dedicated to delivering this complex undertaking through collaboration and a best-for-project vision.
The role will report to the Senior Leadership Team Member.
This position requires on-site (project office) presence 5 days a week.
Draft and disseminate correspondence for management personnel including the use of online data management systems;
Manage all aspects of internal and client meetings including the preparation of agendas filing of correspondence preparing and distributing minutes and action registers to the relevant stakeholders;
Provide accurate information and customer service to the client external vendors subcontractors and community stakeholders;
Pro-actively coordinate management diaries which will include scheduling and calendar planning;
Successfully utilize key software packages and online data management systems such as MS Office Suite Procore Aconex and SharePoint ensuring information is up to date and stored safely;
Assist the Project Director with general administrative activities such as travel booking performance data upload etc;
As required support the broader project administration team in areas such as procurement accounts/invoices plant management and training.
At least 2 years proven experience as an Administrative Assistant in a project environment;
Experience of providing a high quality and efficient administration service;
Team player with ability to work autonomously and communicate at all levels with a positive pro-active approach;
Excellent working knowledge of Microsoft Office suite of products (in particular Word but also Teams Outlook Excel and PowerPoint);
Great interpersonal skills (tact integrity confidentiality patience and ability to get on well with all levels of staff).
Expected compensation for this role is $52000 - $71500 annually. Base salaries are determined according to several parameters like skills experience and potential impact on the role. Internal and external competitiveness are also taken into account in our offers.
