Position Overview
The Administrative Assistant III provides advanced clerical and administrative support to ensure efficient internal operations and exceptional service to internal staff and the public. This position serves as the primary point of contact for visitors and callers and supports multiple programs including Inspections Education and Training and Reclamation. The role requires strong organizational skills attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities Front Desk & Customer Service
- Greet assist and direct visitors and members of the public in a professional manner
- Receive screen and route incoming telephone calls faxes and general inquiries
- Direct members of the public to appropriate staff or departments
Administrative & Clerical Support
- Open date-stamp and distribute incoming correspondence
- Maintain general and departmental filing systems (physical and electronic)
- Maintain inventory of office supplies and coordinate replenishment
- Coordinate repair and maintenance of office equipment
Program & Database Support
- Compile input and maintain data for the Inspections Program database
- Summarize data and assist with preparation of reports
- Support the Education and Training Program by:
- Answering questions regarding training schedules
- Assisting with forms and data entry into databases
Reclamation & Public Meeting Support
- Assist the Reclamation Department with delivery and pickup of security documents to the State Treasurers Office
- Handle communications related to obtaining mailing addresses for public meetings
- Coordinate public notice mailings
- Provide administrative support for public meetings including updating documents agendas and related materials
Required Qualifications
- 3 5 years of administrative support experience
- Proficiency with:
- Google Workspace
- FileMaker Pro
- Microsoft Access
- Microsoft Office (Word Excel Outlook)
- Strong organizational communication and multitasking skills
- Ability to handle confidential information with discretion
Additional Requirements
- Local candidates only (must be local at time of submission)

- Must be able to start within two weeks of offer
- Security clearance required
