Job Summary:

The Department of Orthopedics and Rehabilitation is seeking a Medical Program Assistant to provide administrative support to a group of our faculty members. This position will join our team of highly independent Medical Program Assistants in a fast-paced environment to provide a broad scope of administrative work to directly support assigned facultys work across clinical educational and research missions. This work requires a high level of independent problem solving and decision making to navigate work across multiple organizations (University UW Health other external clinical care partners and academic societies) based upon each facultys specialty subspecialty and unique role. This position also requires the ability to work collaboratively with other functional teams within the department (Research Administration Education Administration and Finance) as well as stakeholders in other departments throughout the School and University. Partial remote work available after a training period has been completed.

  • This position may require some work to be performed in-person onsite at a designated campus work location. Some work may be performed remotely at an offsite non-campus work location.

  • Work schedule is Monday through Friday typically between 8:00a.m.- 4:30p.m.

  • This position has been identified as a position of trust with access to vulnerable selected candidate will be required to pass an initial caregiver check to be eligible for employment under the Wisconsin Caregiver Law and every four years.

Key Job Responsibilities:

  • Identifies opportunities for program improvements and makes recommendations to the appropriate entities
  • Acts as the primary liaison for providers or programs and refers stakeholders to providers agencies patients and staff
  • Performs administrative tasks including telephone customer service word processing transcribing filing and calendaring
  • Serves as the primary contact and subject matter expert for specified program policies and procedures
  • Schedules logistics and secures or distributes resources for program meetings department events conferences and travel

The Department of Orthopedics and Rehabilitation within the University of Wisconsin School of Medicine and Public Health includes 61 faculty and 50 advanced practice providers in 8 subspecialty divisions/sections who provide world-class adult and pediatric clinical care at UW Health and partner locations education of medical students residents (40 residents between 2 residency programs) and fellows (8 fellows across 5 fellowship programs) and conduct cutting edge research. Compensation:

The starting hourly wage for the position is $23.00 per hour; but is negotiable based on experience and qualifications.

Required Qualifications:

  • Proficiency in Microsoft Office Suite with excellent typing skills

Preferred Qualifications:

  • Experience working in customer service and a fast-paced environment

  • Experience working in a healthcare setting

  • Experience with Epic or other electronic medical record software

  • Basic knowledge of medical terminology and HIPPA requirements
