Remote Part-Time
The Virtual Executive Assistant Luxury Travel Advisor role supports a high-end travel advisor with complex itinerary planning bookings and day-to-day operational coordination. This position requires strong attention to detail excellent communication skills and experience working in a luxury travel or hospitality environment.
The role starts at approximately 20 hours per week with flexibility to increase hours during peak travel seasons and urgent travel needs. The position is fully remote and requires availability during PST business hours.
Key Responsibilities
Build and manage detailed luxury travel itineraries using Axus
Ensure accuracy of traveler details bookings confirmations and special requests
Handle itinerary revisions and complex booking details
Communicate with clients hotels DMCs and suppliers via email and messaging tools
Send and track welcome emails confirmations and follow-ups
Book and manage hotels transportation dining and concierge services
Track bookings payments and commissions using TripSuite
Follow up on special requests missing commissions and post-trip adjustments
Maintain organized records and documentation in Google Drive
Track tasks deadlines and client status accurately
Assist with invoicing statements and basic commission reconciliation
Provide light administrative and operational support as needed
Requirements
Minimum 2 years of experience in travel hospitality or a service-based industry
Strong understanding of luxury travel planning and high-touch client service
Excellent written English communication skills
High level of organization accuracy and attention to detail
Ability to manage time-sensitive tasks and urgent travel-related issues
Experience with or ability to quickly learn Axus TripSuite and Virtuoso portals
Proficiency with Google Docs spreadsheets and communication tools such as Slack
Ability to work independently and adapt to changing priorities
