About the opportunity

We are currently seeking a Business Administration Coordinator with strong administrative background to join our team at our Moran Sylvania home located in the Sutherland Shire.

Permanent opportunity: Monday to Friday - 08:30am to 16:30pm.

This role provides administration services that drive engagement activities with residents carers families providers employees and key stakeholders.

Reporting to a General Manager the Business Administration Coordinator will take ownership for executing the detailed processes entailed in specific aspects of business financial facilities and HR administration.

You will work with a wonderful team of dedicated people and your contribution will make a difference to our residents enjoyment of their life every day.

Key Accountabilities:

  • Lead a small team providing administrative support services by overseeing and coordinating the delivery of these services to ensure the business needs of the team or unit are met.
  • Coordinate and establish workplans to address priorities effectively.
  • Coordinate daily administrative tasks manage office supplies and inventory and act as a liaison with stakeholders.
  • Prepare professional correspondence documents and reports for internal and external stakeholders.
  • Communicate relevant information and requests to employees and residents promptly and accurately.
  • Manage and coordinate the collection collation creation and maintenance of employee files staff records documents and other necessary information.
  • Support Human Resources functions including recruitment processes and all aspects of the employee lifecycle.
  • Actively maintain update store retrieve and navigate records within data management systems.
  • Provide day-to-day administrative support to the Management Team; assist with onboarding new residents; assist in planning events such as meetings or luncheons (including agenda preparation and note-taking).
  • Assist in procurement processes including raising purchase orders as required.
  • Deliver high-level administration by confidently utilising technology applications including relevant HR systems CareSystems software solutions MS Office Suite to provide efficient service delivery.
  • Perform ad-hoc administrative tasks as needed.

Skills/Requirements:

  • Capability to perform routine administration tasks with a high level of attention to detail
  • Excellent customer service organisational and time management skills
  • Must possess strong interpersonal and communication skills
  • 1 year working in a high-volume administrative role
  • Roster or scheduling experience will be highly regarded
  • Highly motivated and proactive
  • Current police check and influenza vaccine (or willingness to obtain) and valid working rights
