Job Description




The City of Yucaipa is conducting a recruitment for an Office Assistant I.

Under general supervision the Office Assistant I performs a wide variety of general clerical and support tasks; receives and assists members of the public; collects fees; prepares a variety of correspondence; assists other staff; and performs related work as required. Individuals in this class typically require little or no directly related work experience. Incumbents perform a limited range of routine clerical and office support duties.

Supervision Received and Exercised

Receives immediate supervision from a higher-level supervisor or manager. Incumbents work under immediate supervision while learning job tasks and procedures and progress to general supervision as the processes and responsibilities of the assigned work area are learned.

Examples of Duties

Duties may include but are not limited to the following:
  • Perform a wide variety of clerical work including filing billing and tracking and recording information and records.
  • Type proofread compile and process a variety of documents and forms including general correspondence memos financial reports and statistical charts from rough draft recordings or verbal instruction.
  • Maintain a variety of records related to areas of assignment; check and tabulate statistical data; prepare routine status and statistical reports.
  • Scan permanent records and ensure files are legible and properly filed.
  • Assist with copying distributing and posting agenda packets and follow up on Council action items.
  • Process proclamations and commendations; process Fair Political Practice Commission statements of economic interest.
  • Upload information to the Citys website.
  • Collect fees for permits and licenses; record payments and issue receipts and routine permits; reconcile cash drawer.
  • Assist members of the public with understanding City programs and policies; prepare Notice of Violations and Administrative Citations for ordinance and code violations.
  • Act as a receptionist; answer the telephone and wait on the general public giving information on department and assigned program policies and procedures.
  • Receive open and distribute incoming and outgoing mail.
  • Sort and file documents and records maintaining alphabetical index and cross-reference files.
  • Build and maintain positive working relationships with co-workers other City employees other agencies and the public using principles of good customer service.
  • Perform related duties as assigned.

Typical Qualifications

Knowledge of:
  • English usage spelling grammar and punctuation.
  • Basic mathematical calculations.
  • Basic computer software and keyboarding.
  • Cash handling techniques.
  • Principles and practices of effective customer service.
  • Modern office equipment including use of applicable computer applications.
  • Organization procedures and operating details of assigned office.
  • City policies and procedures related to area of assignment.

Ability to:
  • Treat all customers and staff courteously and respectfully.
  • Answer multi-line phone system.
  • Learn the organization procedures and operating details of the City department to which assigned.
  • Perform routine clerical work including maintenance of appropriate records and preparation of general reports.
  • Verify and check files and data.
  • Perform routine mathematical calculations.
  • Type accurately at a speed necessary for successful job performance.
  • Follow workplace safety procedures and policies.
  • Operate and use modern office equipment including a computer and applicable software.
  • Establish and maintain effective working relationships with those contacted in the course of work.
  • Communicate clearly and concisely both orally and in writing.
  • Intermittently review documents related to department operations; observe identify and solve problems relative to office operations and procedures; understand interpret and explain department policies and procedures; explain operations and solve problems relative to office issues for the public and with staff.
  • On a continuous basis sit at desk and/or stand at counter for long periods of time; intermittently twist and reach office equipment; write and use keyboard to communicate through written means; run errands; lift or carry weight of 20 pounds or less.

Experience and Education
Any combination of experience and training that would likely provide the required knowledge and abilities may be qualifying. A typical way to obtain the knowledge and abilities would be:

Experience:
One year of customer service experience.

Education:
Equivalent to completion of the twelfth grade.

Work is conducted in an office environment. The role requires sufficient mobility to move within a standard office setting operate typical office equipment and use a computer. Environmental Conditions
Work is generally performed in a temperature-controlled office environment subject to typical office noise.The role may involve interactions with upset employees members of the public or external representatives while explaining or enforcing departmental policies and City regulations.
