Role Purpose & Success Outcomes
Purpose:
Own end-to-end administrative and HR operations for both projects and office functions ensuring accurate documentation regulatory compliance and smooth daily operations for managers and project teams.
Success Outcomes:
Administrative and project documentation is accurate complete and delivered on time.
HR records labor contracts and leave tracking meet internal and legal requirements.
Supplier payments client documents and fund statements align with approved records.
Managers receive reliable logistical and operational support without disruption.
Key Responsibilities
Purchase project and office supplies; manage supplier coordination and extensions.
Review payment requests and support supplier payment processing.
Arrange hotels flights and restaurant bookings for managers.
Manage and schedule company vehicles for projects and office use.
Prepare fund statement reports for projects and office operations; update records in the Cloudia system.
Submit required financial and operational reports to Head Office (e.g. client receipts payment orders).
Prepare contracts and payment documents for clients.
Review contracts and payment documentation for subcontractors.
Manage labor contracts timesheets and annual leave tracking.
Coordinate work permits temporary residence cards and visa renewals for managers.
Open new project accounts and support the accounting team in project closure.
Perform other related tasks as assigned by management.
Candidate Profile
Education & Qualifications
Bachelors degree in Business Administration Human Resources Accounting or related field (required).
Professional Experience
3 years of experience in an administrative role that includes HR responsibilities similar to those listed above (required).
Demonstrated employment stability with at least 3 years at one company (required).
Technical Skills
Practical experience preparing contracts payment documents and internal reports (required).
Working proficiency with administrative systems and cloud-based reporting tools (required).
Familiarity with accounting coordination processes is an advantage (nice-to-have).
Knowledge Domain
Vietnamese labor law fundamentals including labor contracts leave management and statutory insurance (required).
Administrative practices in engineering or construction project environments (nice-to-have).
Working Style & Culture
Able to work independently and take full ownership of admin and HR responsibilities.
Detail-oriented organized and consistent in documentation and follow-up.
Practical reliable and responsive to managers operational needs.
