Position Summary

The Coordinator of Business and Events is an administrative and supervisory role that manages key business operations of the Physical Education and Recreation Department. Reporting to the Assistant Director for Business and Events this position manages facilities rentals and event coordination departmental business operations contracts and procurement and supervises approximately 30 event student staff members.

The Coordinator oversees aspects of facilities rentals and events from initial client requests to post-event follow-up while ensuring clear communication realistic expectations and a high-quality client experience. Responsibilities include event/rental invoice compilation management of departmental printing and copying operations including supply orders and maintenance coordination and departmental records management to ensure compliance with university policies and retention schedules.

The Coordinator recruits hires schedules trains and evaluates approximately 30 student event staff members ensuring compliance with all employee policies collective bargaining agreements and university regulations. This includes maintaining training records submitting timely attendance reports and collaborating on staff scheduling and training updates.

The Coordinator serves as steward of departmental resources and primary liaison to Student Life Financial Services regarding contract and purchasing management including oversight and management of contracts departmental Procurement card purchasing vendor management and resolution of procurement discrepancies. The position also serves as custodian of departmental capital assets and inventory maintaining accurate records of physical asset locations coordinating property control transactions and ensuring compliance with university asset management standards.

The Coordinator serves as backup to the Assistant Director of Business Operations and Events during their absence and may perform other duties as assigned to support departmental and divisional initiatives.

Minimum Requirements

Bachelors degree AND one year of experience in business operations administrative support events/rentals management or related field; OR
Four years of experience in business operations administrative support events/rentals management or related field; OR
An equivalent combination of education/experience.

Ability to work with diverse populations and maintain professional relationships with staff students vendors and clients
Ability to manage multiple projects and tasks simultaneously while maintaining attention to detail and accuracy
Strong communication skills
Proficiency in records management document organization and compliance with retention standards
Demonstrated ability to work collaboratively in a team environment
Strong customer service orientation and ability to manage client expectations

Preferred Qualifications

Masters degree in Business Administration Management or related field
One (1) year supervision experience including hiring training and evaluating staff managing employee work schedules and timesheets.
Experience with UO software platforms Banner Concur UKG
Knowledge of university procurement policies and procedures
Experience with property control asset tracking or inventory management
Experience managing procurement card or similar payment systems
