DescriptionThe Scholarship Coordinator manages the entirety of the Herbert related scholarship matters both at the graduate and undergraduate level. Major responsibilities include management of all endowments and the Scholarship Manager system as well as aiding the Herbert scholarship committee seven academic departmental subcommittees and one school subcommittee managing appeal form and works on cases with Director generates reporting manages information platforms and subject matter expert program information for students internal university staff external constituents and campus visitors.
ResponsibilitiesScholarship Management:
- Manage data for the college scholarship committee including quarterly status reports and meetings
- Coordinate review and revisions of college scholarship guidelines & criteria annually in conjunction with the Chair and seven academic department scholarship committees and one school committee
- Annual review and management of student scholarship application system and process
- Populate audit and prepare data for the annual report for scholarship committee
- Meet regularly with Director of Enrollment and Director of Finance and seven academic departments/one school to review scholarship recipient parameters and search tools
- Analyze scholarships budgets to meet donors expectations and ensure current and future allocations are met
- Coordinate scholarships with seven academic departments and one school to optimize recruitment and retention for the college in consultation with the Director of Enrollment Services
- Optimizes available scholarships to students who meet college guidelines and vision
- Organize and coordinate donor requests for involvement with recipient cohorts
- Collaborate with Herbert Finance Office and development office to effectively manage more than $1.5 million in annual scholarship fund revenue determine forecast of availability of funds etc.
- Prepare student applications for committee review ranking and consolidation of recommendations for awards
- Correspond with students and parents regarding scholarship acceptance
- Prepare and distribute letters of notification to students with acceptance instructions
- Lead coordination with university admissions and financial aid offices for a synchronized operation
- Identifies and recommends appropriate award based on designated criteria
- Enter and audit dollar amount and funding source of award and specific scholarship account for each accepted student in Scholarship Manager
- Serve as college-wide subject matter expert on Scholarship Manager software
- Follows up on awards not accepted and reallocates award to another student
- Review and research student information and eligibility after each semester
- Maintains ownership of scholarship data base and activities log to ensure scholarship funds are not over-committed including data entry analysis and quality assurance
- Review and audit scholarship source data for accuracy across platforms
- Generate reports in conjunction with the Deans Office and UTIA Advancement
Student Support:
- Acts as first point of contact for all student scholarship matters and issues
- Acting scholarship liaison for students and families for campus visits admissions retention and student success related matters
- Liaison between Deans Office and other campus offices
- Primary liaison for student organizations funding
- Travels to Outreach events with Student Success to individually contribute subject matter expert information to students and parents regarding scholarships
- Manages and maintains department scholarships email account including correspondence with parents and students
- Maintains college level knowledge to redirect students to appropriate office staff based on inquiries such as but not limited to internships or advising needs
Data Analytics:
- Manage preparation of quarterly reports for the college on retention scholarship expenditures enrollment and other areas as needed for the Deans Office.
- Distribute quarterly reports to Deans Department Heads and Directors.
