Position Overview

This position is a member of the Triple A Enrichment Program team providing administrative oversight for registration and creating a customer-centric environment.
As the receptionist this role is the focal point for the safety and security of all Meridian stakeholders. Much of the days work involves managing relationships through verbal and written correspondence receiving visitors and coordinating daily logistics.
As the registrar maintaining confidentiality is essential. Responsibilities include managing new registrations and withdrawals maintaining accurate and up-to-date enrollment data and communicating changes to Meridian staff and families.
Duties and Responsibilities
- Support Triple A operations to achieve the mission and vision of the organization
- Work with the Triple A Manager to prioritize registration based on the annual budget
- Communicate updates regularly with Triple A staff
- Learn and utilize digital tools including MySchoolBucks
- Monitor data entry for rosters and absences to ensure accuracy
- Collaborate with the Meridian Business Office to meet data needs
- Generate weekly monthly and ad hoc reports
- Communicate with Arts and A La Carte instructors regarding processes
- Communicate with parents and guardians
- Ensure projects are completed accurately and on time
- Audit invoices and reports for inconsistencies
- Recommend improvements to current processes
- Work cross-functionally within the school and department
- Assist students visiting the receptionist desk
- Perform other duties as assigned
Knowledge Skills and Abilities
- Proficiency with Apple hardware Microsoft Office for Mac and Google Applications
- Strong organizational time management and prioritization skills
- Excellent verbal and written communication skills
- Strong analytical and problem-solving abilities
- High attention to detail
- Ability to learn new systems quickly
- Professional demeanor
Qualifications
- 24 years of clerical experience in a professional environment
- Experience in an educational setting preferred
- High School diploma or equivalent
Working Parameters and Physical Requirements
The work environment is the lobby of the primary school during after-school pick-up. The role is fast-paced and requires focus and multitasking. The position spans approximately 40 weeks per year closely following the 10-month school calendar.
The position begins in late July and ends around the first week of June. Hours are Monday through Friday from 10:00 a.m. to 6:30 p.m. including a 30-minute lunch break.
Salary and Benefits
- 202 days of employment
- $440 monthly employee health insurance contribution with multiple plan options

- Fall break Thanksgiving break spring break and a 10-day winter break

Attendance Responsibilities
Safety is the highest priority. Maintaining accurate attendance records is essential.
- Accurately record attendance status including absent car rider waiter or early departure
- Gather attendance data from email transportation spreadsheets Raptor reports and school absence lists
- Coordinate attendance walks with group leaders and instructors
- Investigate attendance discrepancies using approved protocols
- Contact parents when necessary to confirm student status
- Announce finalized attendance via Triple A radios and primary speaker system
Registration
- Coordinate enrollment needs with the Triple A Manager
- Process registrations through MySchoolBucks
- Maintain accurate rosters and enrollment records
- Follow up with families regarding missing information
- Assist with annual re-enrollment communication
- Update all related documents and notify appropriate staff
Student Withdrawal
- Monitor withdrawal notifications via Edlio and Admin-Meridian
- Update rosters and enrollment records
- Notify staff and update financial obligations
School Communication and Emergency Procedures
- Manage school-wide radio communication for after-school programming
- Conduct emergency drills using approved scripts
- Coordinate all-clear notifications with leadership
- Implement rainy day sandbag and safety protocols
Illness and Injury Procedures
- Evaluate incident reports and determine parent notification needs
- Contact parents for all head injuries
- Ensure reports are signed by authorized pickup individuals
