About the Firm
We are a growing Texas-based law firm with multiple offices across the state focusing on estate planning probate and elder law. Our team is committed to providing exceptional service to clients while maintaining a professional respectful and supportive workplace.
This position is based in the Fort Worth office and is best suited for someone with strong attention to detail excellent scheduling skills and confidence working directly with clients.
Key Responsibilities
- Answer and route incoming calls emails and online inquiries
- Schedule appointments for multiple attorneys using block schedules
- Create and maintain accurate client contact records
- Send receive and organize client questionnaires and documentation
- Process client billing (deposits final invoices etc.)
- Maintain detailed notes related to appointments and client interactions
- Prepare and reserve conference rooms for meetings
- Verify pre-paid legal coverage for prospective clients
- Communicate with clients and outside parties as needed
- Assist with office organization supplies and light facility coordination
- Support event preparation (printing setup materials)
- Maintain files emails and documents with accuracy
- Manage Client Care Program reporting
- Provide general administrative support to attorneys paralegals and operations leadership
Requirements
Education
- High school diploma required
- 30 college credit hours or 2 years of administrative experience preferred
Required Skills & Experience
- Prior experience in a client-facing or administrative role
- Strong phone presence and clear communication skills
- Proven scheduling and calendar management experience
- High attention to detail with strong organizational habits
- Ability to prioritize and adapt in a fast-paced environment
- Comfortable learning new software systems
- Strong writing grammar and typing skills
- Proficient in Microsoft Office and Google Workspace
Preferred
- Notary Public certification
- Familiarity with Clio legal software
