Job Summary

Position Summary:

The Guest Services Representative serves as the first point of contact for patients visitors and staff entering the facility and plays an essential role in maintaining a safe welcoming and supportive environment. Working under the direction of Admitting Department leadership this position greets all individuals with professionalism and courtesy conducts required health screenings and ensures compliance with visitor policies and identification procedures. Collaborating closely with clinical teams security and administrative staff the Guest Services Representative supports smooth visitor flow provides clear wayfinding assistance and responds to questions or concerns with care and discretion. This role operates within a team-oriented setting that values communication respect and service excellence while upholding Trinity Health standards for confidentiality safety and customer service in every interaction.

Key Responsibilities:
  • Greet and screen all patients visitors and staff upon arrival ensuring compliance with hospital policies health screening procedures and visitor restrictions.
  • Collect and enter demographic information for visitor name badge creation while maintaining accuracy and confidentiality.
  • Monitor and update the electronic visitor tracking system ensuring real time accuracy and adherence to security protocols.
  • Provide clear and courteous directions information and assistance to patients and visitors navigating the facility.
  • Identify individuals who require special assistance or immediate attention and coordinate with clinical or security staff as appropriate.
  • Maintain a professional and organized front facing environment managing visitor flow efficiently during peak traffic times.


Licenses and Certifications Required:
  • None

Educational Requirements:
  • High school diploma or equivalent preferred.
  • Experience Requirements:
  • Customer service experience required.
  • Previous experience in a healthcare setting or a public facing role preferred.
  • Office/clerical experience preferred.

Special Skills or Training Requirements:
  • Strong interpersonal and customer service skills to create a positive patient and visitor experience.
  • Ability to communicate effectively in person and over the phone.
  • Strong attention to detail for data entry and visitor tracking.
  • Proficiency in basic computer skills including data entry and typing.
  • Ability to exercise good judgment in handling calls in person inquiries and visitor screening efficiently.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work in a fast paced environment multitask and manage priorities effectively.
  • Compliance with all privacy and confidentiality standards per Trinity Health policies.

Physical Requirements:

This position requires frequent standing for extended periods while greeting and screening guests as well as occasional walking throughout the facility to assist with directions or escorting visitors. Light physical activity may be required including lifting up to 15 pounds for supplies signage or equipment. Must possess adequate hearing vision and manual dexterity to operate screening tools thermometers computers and communication devices.

Environmental Requirements:

Work takes place in high traffic public entry areas where noise levels visitor volume and pace may fluctuate significantly. Exposure to individuals experiencing illness emotional distress or heightened anxiety is common requiring calm and professional communication. Must adhere to all infection control practices safety protocols and confidentiality standards. May be required to work near doors or lobby areas with fluctuating temperatures.
