Role Purpose

The Facilities Manager will lead a team to ensure effective management of daily client activities for assigned properties and facilities supporting the Account Lead as the on-site key contact for stakeholders and clients. This role manages teams across Rome Madrid Barcelona and Portugal with responsibility for service quality help-desk resolution maintenance operations contract services safety practices procurement and budget accuracy.

Procurement & Vendor Management

  • Ensure vendors deliver services on time and within budget
  • Maintain vendor procurement processes that comply with client guidelines and JLL best practices

Contract Management

  • Plan and manage all contracts for professional delivery at optimal costs
  • Monitor contract expiration dates and initiate re-procurement when needed
  • Continuously assess contracts to deliver maximum client value

Financial Management / Cost Control / Profitability

  • Ensure site financial operations meet or exceed targets and control requirements including adherence to JLLs Code of Ethics
  • Maintain compliance with all financial processes

Health & Safety Management

  • Provide a safe working environment for all personnel
  • Ensure compliance with statutory fire health and safety regulations

Site Operations Management

  • Recommend and implement continuous quality improvement practices and industry best practices
  • Implement building procedures and performance measures maintaining them consistently
  • Meet all Critical Environment Management (CEM) requirements
  • Review operations regularly to reduce costs and improve standards

Risk Management

  • Implement and maintain property risk management programs including audits
  • Develop and maintain disaster recovery and business continuity plans
  • Establish escalation and incident reporting procedures
  • Support development of compliance guidelines and strategies aligned with JLLs business conduct

Performance Achievement

  • Meet Key Performance Indicators and Service Level Agreements consistently

Skills and experience:

  • Facilities management building operations business or related field experience
  • Occupational safety requirements knowledge
  • Vendor management experience for specialized services
  • Critical facilities knowledge with understanding of technical property aspects (Computer Room Air-conditioning Chiller systems Fire Protection Mechanical & Electrical systems BMS systems)
  • Commercial contract interpretation and understanding
  • Budget management and financial analysis capabilities

Technical Skills:

  • Strong PC literacy with proven ability to manage daily activities using various systems
  • Hard services experience and/or technical degree
  • Demonstrated experience with continuous improvement initiatives (highly desirable)
  • Italian and English fluent language proficiency

La posizione di Facilities Manager prevede la guida di un team per garantire una gestione efficace delle attività quotidiane per clienti e strutture assegnate supportando il/la responsabile dellaccount come punto di contatto chiave in loco per stakeholder e clienti. Il ruolo comporta la gestione di team a Roma Madrid Barcellona e Portogallo con responsabilità per la qualità del servizio la risoluzione delle richieste help-desk le operazioni di manutenzione i servizi contrattuali le pratiche di sicurezza gli acquisti e laccuratezza del budget.

Gestione Contratti

  • Pianificare e gestire tutti i contratti per una consegna professionale a costi ottimali
  • Monitorare le scadenze contrattuali e avviare il re-procurement quando necessario
  • Valutare continuamente i contratti per fornire il massimo valore al cliente

Gestione Finanziaria / Controllo Costi / Redditività

  • Garantire che le operazioni finanziarie del sito soddisfino o superino gli obiettivi e i requisiti di controllo inclusa laderenza al Codice Etico JLL
  • Mantenere la conformità con tutti i processi finanziari

Gestione Salute e Sicurezza

  • Fornire un ambiente di lavoro sicuro per tutto il personale
  • Garantire la conformità con le normative statutarie su antincendio salute e sicurezza

Gestione Operazioni del Sito

  • Raccomandare e implementare pratiche di miglioramento continuo della qualità e migliori pratiche del settore
  • Implementare procedure e misure di performance delledificio mantenendole costantemente
  • Soddisfare tutti i requisiti di Critical Environment Management (CEM)
  • Rivedere regolarmente le operazioni per ridurre i costi e migliorare gli standard

Gestione del Rischio

  • Implementare e mantenere programmi di gestione del rischio immobiliare inclusi audit
  • Sviluppare e mantenere piani di disaster recovery e continuità aziendale
  • Stabilire procedure di escalation e reporting degli incidenti
  • Supportare lo sviluppo di linee guida e strategie di conformità allineate alla condotta aziendale JLL

Competenze ed esperienza:

  • Esperienza in gestione strutture operazioni edili business o campi correlati
  • Conoscenza dei requisiti di sicurezza sul lavoro
  • Esperienza nella gestione fornitori per servizi specializzati
  • Conoscenza delle strutture critiche con comprensione degli aspetti tecnici immobiliari (Climatizzazione sale server Sistemi chiller Sistemi antincendio Sistemi meccanici ed elettrici Sistemi BMS)
  • Interpretazione e comprensione di contratti commerciali
  • Capacità di gestione budget e analisi finanziaria

Competenze Tecniche:

  • Forte competenza informatica con comprovata capacità di gestire attività quotidiane utilizzando vari sistemi
  • Esperienza in servizi tecnici e/o laurea tecnica
  • Esperienza dimostrata in iniziative di miglioramento continuo (altamente desiderabile)
  • Conoscenza fluente delle lingue italiana e inglese
