JOB SUMMARY:
We are seeking a highly organised reliable and self-motivated Admin-Focused Customer Service Representative to work behind the scenes keeping our customer communication and operations running smoothly. This role suits someone who enjoys working independently managing systems and being the calm organised backbone of a business rather than being in a sales-driven or highly front-facing role. You will be responsible for handling all incoming enquiries coordinating deliveries calendar management for each department Managing stock quantities and ensuring everything is accurate and up to date. Youll be trusted to manage your own workload autonomously and take ownership of your responsibilities.
KEY RESPONSIBILITIES
Customer Service & Communication
Answer and manage all incoming phone calls in a friendly professional manner - podium
Respond to website enquiries emails and text messages promptly and accurately
Provide helpful information and resolve customer enquiries efficiently
Maintain consistent high-quality communication across all channels
Administration & Coordination
Coordinate deliveries and liaise with customers and internal team members
Calendar Management for multiple team members including 3 owners delivery department & showrooms
Monitor stock quantities identifying shortages or discrepancies
Maintain accurate records and administrative systems
Ensure customer and operational information is organised and up to date
Updating/sending invoices and quotes as required
Ad-hoc tasks to assist owners as/when required
Autonomous Work & Process Management
Prioritise and manage daily tasks independently
Keep workflows running smoothly with minimal supervision
Identify opportunities to improve systems and processes
SKILLS & QUALIFICATIONS:
You are extremely organised dependable and comfortable working behind the scenes. You take pride in doing things properly and enjoy being the person others rely on to keep everything running smoothly.
You will ideally have:
Exceptional organisational and time-management skills
Strong written and verbal communication skills - English with no foreign accent (we promote the fact that we are a 100% Australian owned & operated company)
Conflict resolution skills for dealing with any customer issues
Confidence working independently and taking ownership of tasks
High attention to detail and accuracy
A calm and professional approach to customer service
The ability to juggle multiple responsibilities
Experience in administration customer service &/or logistics

Required Skills:
At least 4 years experience in executive assistant or in a similar administrative role Experience with an Accounts Administration Role Proficiency in office software and productivity tools. Quickbooks Experience. Ability to work independently and collaboratively Desired Skills or Qualifications: Intermediate MS Excel and MS Word Certification Strong organizational and multitasking skills with meticulous attention to detail. Excellent written and verbal communication skills. Prior experience in rental properties a plus
