Position Summary:

The Senior Project Coordinator provides operational administrative and financial coordination support for multi-site projects ensuring all project components remain aligned with scope schedule and budget requirements. This role partners closely with Project Managers field teams vendors and internal stakeholders to support project setup labor coordination procurement billing and close-out activities. The Senior Project Coordinator plays a critical role in maintaining project documentation facilitating communication and supporting financial controls throughout the project lifecycle to ensure consistent high-quality execution.

Key Duties and Responsibilities:

  • Coordinate all administrative financial and logistical components of assigned projects to ensure project elements remain interlinked and aligned with defined scope schedule and budget
  • Partner with Project Managers to support project setup scope review SOP development billing structure and labor planning
  • Manage project initiation activities including system setup documentation permits mall requirements deposits and internal routing
  • Coordinate field labor assignments task management and survey distribution using UKG and ClearThread
  • Support subcontractor and supplier engagement by confirming onboarding documentation pricing and system compliance
  • Issue and manage Purchase Orders and SOVs ensuring required documentation is executed prior to work commencement
  • Coordinate procurement of equipment labor logistics warehousing and related resources as needed
  • Facilitate communication with internal teams subcontractors and clients including participation in pre-construction project and financial review calls
  • Support project close-out activities including billing documentation reporting and reconciliation of open commitments
  • Maintain accurate project records and support ongoing financial tracking and monthly reviews
  • Perform other duties as assigned by management consistent with the scope and responsibilities of this role.

Qualifications:

  • High school diploma required
  • Four to six years of project or office administrative experience including two to three years in a construction office environment
  • Experience working with Oracle or similar enterprise financial systems
  • Advanced proficiency in Microsoft Office (Excel) Smartsheet Procore Microsoft Outlook and Windows-based systems
  • Knowledge of AIA documents pay applications permits and complex billing processes
  • Strong organizational interpersonal and communication skills with the ability to operate in a fast-paced deadline-driven environment
  • Ability to multitask maintain confidentiality and prioritize competing demands
  • Demonstrated customer service and client-facing support experience
  • Ability to lead train and support operational resource planning efforts

Physical Requirements:

  • Ability to perform repetitive tasks including typing data entry and document review
  • Ability to sit stand and work at a computer for extended periods of time
  • Ability to communicate effectively via phone video conference and in person
  • Ability to navigate office environments lift and carry items up to 25 pounds if necessary.
