We are seeking a proactive and highly organized Office Administrator to support a busy accounting and advisory practice. This role will be the operational backbone of the team managing day-to-day administration coordinating client documentation and keeping key compliance workflows moving smoothly. You will handle client communications appointment coordination and end-to-end follow-ups for signatures payments and required documents ensuring nothing falls through the cracks. You will also support practice processes across entities and SMSFs including setting up client files and working paper folders preparing and issuing documents for review and signing and liaising with external bodies when needed. Experience in Australian practice admin compliance workflows or tools like NowInfinity Xero Ignition and ATO SmartDocs is a strong advantage but training will be provided for the right candidate with strong admin fundamentals and a can-do attitude.
What Youll Do
Admin
- Answer phone and direct to relevant person or answer queries
- Organize and confirm appointments
- Send out our ASIC Annual Reviews via NowInfinity. Following up to make sure minutes have been signed and saved and fee paid
- Send out invoice with ASIC Annual Reviews
- Liaise with ATO and ASIC when required one clients behalf
- Send out documentation to new clients to sign in relation to packages follow up with clients to sign and payments
- Complete Super Research which includes sending Third Party Authority to relevant organization follow up on TPA if we do not hear back complete Super Research form and advise Partner once complete
- Admin on following software (can teach): ATO SmartDocs Now Infinity XERO Ignition
- Handle other related general admin tasks.
Individual/Entities
- Set up clients working paper folders including collecting information from clients reports for ATO and setting up returns in Xero green
- Following up with clients if further information is required
- Sending out returns and invoices following up with clients to sign returns and pay invoices
- Sending out NOAs and payslips for entities to pay tax
- Send out Division 293 notices make Super Fund payment election on clients behalf if required and arrange for payment of Division 293 on behalf of clients who also have an SMSF with our office
- Follow up with clients if we require initial or further information for BAS returns
- Send out BAS returns and invoices following up with clients to sign and pay invoice
- Set up entities which includes applying for entity via NowInfinity applying for ABN and TFN organizing documentation for clients to sign once signed scan and save in the Corporate Secretarial folder
- Send out quarterly or Annual PAYG installments
- Implementation of Ignition roll out send out proposals follow up with clients
SMSF
- Set up SMSF which includes applying for SMSF via NowInfinity applying for ABN and TFN organizing documentation for clients to sign once signed scan and save in the Corporate Secretarial folder also includes setting up a Macquarie bank and Ausiex accounts sending super contributions forms arranging rollovers into the SMSF arranging our fees to paid set up monthly payment
- Send out or pay quarterly/annual PAYG installments
- Pay fees or ATO obligations on behalf of SMSF clients
- Monthly bookkeeping for internal SMSF
- Set up clients working paper folders including collecting information from clients reports for ATO downloading Macquarie bank statements Ausiex statement
- Liaise with clients and organizations to collect required information for year-end accounts
- For internal SMSF once accounts have been finalized send accounts and documentation to Just SMSF for audit once audit report has been received contact client to arrange an appointment to discuss send out financials for signature follow up with client to sign save signed accounts in folder
- MoreSuper SMSFs once information has been collected upload to portal answer queries or collect further documents if required once FR are received contact client to arrange an appointment send out FR and any other relevant documentation for signature follow up with client to sign once signed upload to MS portal once we receive the audit report save in file
- Have also assisted in the implementation of Infinity Ignition and we are nearly there with ATO Smart Docs.
- Also sorted out Salesforce legacy issues

- At least 2 years of office administration experience (professional services experience is a plus).
- Strong communication skills with confidence handling client emails calls and follow-ups.
- Solid computer and admin fundamentals (Microsoft Office/Google Workspace file management calendars and document control).
- A proactive attitude and willingness to learn. Training will be provided on systems and workflows.
- Comfort working with process-driven tasks including basic compliance checks organizing documentation and navigating online portals (training provided).
- Australian accounting/practice administration experience is highly regarded but not required. Experience supporting clients in other Western markets (UK/US/Canada) is also considered transferable.
