Job Summary

General Admin

  • To undertake office reception duties both in person and on the telephone including taking messages for other staff.
  • To provide full administrative support to staff.
  • Coordinated office supplies procurement and inventory management
  • Control the accuracy of the CRM system
  • Ensure the companys compliance documents are current & available 
  • Renewal of company certification documents
  • Management of PSiRA portal updates/changes
  • Completing onboarding documents and company application forms
  • Filing and document control

Creditors

  • Recon of supplier statements with invoices
  • Generate POs
  • Follow up on orders and communicate with the team on lead times
  • Completing credit applications and other supplier documents
  • GRVing POs on the CRM
  • Receiving stock and filing
  • Follow up on credit notes/returns and adjusting on CRM accordingly

Debtors

  • Compile Debtors age analysis
  • Follow up on accounts that are long overdue i.e. 90 &120 days
  • Petty cash
  • Follow up on slips and invoices
  • Compile the debtors control
  • Management of online portals for submitting quotes invoices and company documents
  • Processes payments and documents such as invoices journal vouchers employee reimbursements and statements.

Fleet

  • Arrange vehicle license renewals
  • Vehicle repairs and faults reporting
  • Management of fines
  • Vehicles branding and tracker updates

Asset Register

  • Order and update uniform register
  • Update asset register
  • Update tool register

HR

  • Follow up on all leave forms and queries
  • Assist with HR queries from staff
  • New employee onboarding and information management
  • Disciplinary document management
  • Manage training certificates of staff this includes renewals

Stock Management

  • Update stock control on Fusion CRM
  • Control stock in/out of the storeroom
  • Maintain storeroom cleanliness and orderliness
  • Check lead times for quoting and ordering
  • Stock take
  • Arrange collection & return of stock items

Qualifications :

  • 3 - 5 years in a similar position
  • Must have experience in debtors creditors HR Stock Management and Asset Management
