JOB SUMMARY

The Procurement Specialist supports Benedict Colleges academic research and administrative operations by managing purchasing activities in compliance with institutional policies and federal regulations. This position is responsible for facilitating procurement processes vendor coordination contract documentation and purchase tracking to ensure efficient compliant and cost-effective acquisition of goods and services. The role works closely with faculty staff and administrative offices to support operational and grant-funded purchasing needs while maintaining proper documentation for audit readiness. Work is performed under general supervision with independent judgment applied to procurement procedures and vendor interactions.

Work Schedule: Monday through Friday 8:30 a.m. to 5:00 p.m. (flexibility required during deadlines). A Hybrid or remote work schedule may be considered with supervisor approval.

ESSENTIAL JOB FUNCTIONS:

  • Process purchase requisitions and purchase orders in accordance with college policies
  • Obtain and review vendor quotes to ensure competitive pricing and compliance
  • Coordinate procurement for grant-funded purchases in alignment with sponsor and institutional guidelines
  • Maintain vendor records and contract documentation
  • Track orders and resolve issues related to shipping delivery or invoicing
  • Assist with contract review routing and documentation management
  • Ensure compliance with institutional procurement thresholds and federal regulations (2 CFR 200 when applicable)
  • Support audit readiness by maintaining accurate procurement records
  • Communicate with faculty and staff regarding purchasing procedures and timelines
  • Monitor procurement workflows to ensure timely processing
  • Collaborate with Finance and Grants offices to verify funding availability prior to purchases
  • Perform related duties as required.

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • Bachelors degree preferred in business administration finance public administration or related field. Relevant professional experience may be considered in lieu of a degree.
  • Minimum three (3) years of experience in purchasing procurement financial operations or grant-supported environments is required.
  • Experience working with grant-funded purchases and understanding of federal guidelines particularly 2 CFR 200 Uniform Guidance is required.
  • Must be highly proficient with technology and able to quickly learn and navigate multiple systems including procurement platforms financial systems sponsor portals and document management tools.

KNOWLEDGE SKILLS AND ABILITIES:

  • Excellent communication organization and problem-solving abilities; attention to detail.
  • Ability to work independently and meet deadlines in a fast-paced environment.
  • Ability to manage multiple priorities.
  • Advanced proficiency in Microsoft Excel for tracking reporting and reconciliation preferred.
  • Reliable punctual and a strong work ethic.

PHYSICAL DEMANDS:

Requires sedentary work that involves walking standing lifting carrying pushing and pulling some of the time. Requires the ability to lift up to 50 pounds and the ability to exert up to 10 pounds of force on a recurring basis or routine keyboard operations.

WORKING CONDITIONS:

Work environmentrisks exposure to no known environmental hazards.
