Role Overview
The Executive Assistant acts as a strategic gatekeeper and operator ensuring that only high-leverage matters reach Principal and that decisions translate into timely frictionless execution.
Functional Accountability
This role has end-to-end ownership of:
- Executive time calendar and access management
- Inbound and outbound communications across all channels and entities
- Executive preparation briefing and follow-through on decisions
- Cross-entity coordination and execution tracking
- Personal and professional logistics required to sustain focus and availability
- Executive operating systems that prevent dropped commitments and rework
- Accountability is singular: nothing that requires CEOs attention should arrive unfiltered unprepared or unresolved.
Key Outcomes and Success Measures (12-Month Horizon)
- Principals calendar reflects strategic priorities with protected deep-work time and minimal reactive interruptions.
- All inbound communications are triaged prioritised and resolved with no unvetted access.
- Executive meetings are decision-ready with briefs agendas and documented follow-through delivered consistently.
- Strategic and delegated initiatives across entities are visible tracked and progressed without prompting.
- Personal and professional logistics operate seamlessly with no follow-up required by the Principal
- Risks conflicts and bottlenecks are identified early and escalated only when judgement or approval is required.
Decision Authority
This role may independently:
- Control access to Principals time and attention
- Prioritise defer or decline requests based on strategic relevance
- Communicate externally on Principals behalf once tone and parameters are set
- Drive follow-up and accountability across internal teams and external advisers
- Implement systems reminders and workflows to eliminate repeat issues
This role must escalate:
- Material legal financial or reputational decisions
- Commitments that materially change strategy exposure or obligations
- Matters involving unresolved conflict of interest or high sensitivity

- Principal
- General Managers across operating entities
- Legal finance compliance and professional advisers
- CIOO and operational leads
- External partners vendors and service providers
- Personal support resources (driver household support clerical support)
- This role coordinates across functions but does not replace executive leadership within entities.
What This Role Is Not Responsible For
- Acting as a General Manager or business owner within any entity
- Providing legal financial or investment advice
- Social or relationship management beyond operational coordination
- Performing routine clerical work that can be delegated elsewhere
- Absorbing unclear work due to others lack of ownership
Capabilities and Experience Required
