Job Summary

The Position

Class Code 28109: Legal Secretary I

Transfer job postings are for County of Sacramento employees only.
In order to be qualified for a transfer:

1. You must meet the Minimum Qualifications of the new job.
2. The difference between the top salary steps (the highest pay rate within the range of pay) of your current job class and the job class that you intend to transfer into must be less than 5%.

There are three different transfer types that you may qualify for: interdepartmental transfer interclass transfer and voluntary demotion. These different transfer types are defined as:

  • Interdepartmental transfer - a transfer in the same class from one County department to another.
  • Interclass transfer - a transfer from one job class to a different job addition the difference between the top salary steps (the highest pay rate within the range of pay) of your current job class and the job class that you intend to transfer into must be less than 5%.
  • Voluntary demotion - a transfer into a job class that pays less than 95% of your current class salary.
If you are requesting an interclass transfer or voluntary demotion either action is a change in class. Whether the change is a transfer or a demotion depends upon the difference between the maximum salary rates of the requested and incumbent classes. Personnel Ordinance Section 2.78.294 or the applicable labor agreement sets the criteria for determining the maximum difference allowed. Personnel Ordinance Section 2.78.228 defines demotion.

Legal Secretary I is a journey level class and is characterized by a wide variety of general and legal clerical work which includes composing and typing legal documents and correspondence processing of legal documents and maintenance of legal case records. These duties are generally repetitive and require minimal supervision once office procedures are learned. Additionally some positions in this classification may require the ability to take and transcribe oral dictation.

Examples of Knowledge and Abilities

Knowledge of

  • Purpose format and processing procedures of basic legal forms and documents
  • English grammar punctuation spelling and usage
  • Format and composition of routine correspondence and legal documents
  • Legal terminology spelling and usage
  • Basic references for legal clerical work
  • Legal and general office clerical practices and procedures
Ability to
  • Compose routine correspondence and legal documents from minimum instructions
  • Prepare complex legal documents from specific instructions
  • Efficiently maintain accurate case files and records
  • Operate standard office machines and equipment such as typewriter word processors computer terminals printers tape recorders copiers and multi-line telephones
  • Understand and follow oral and written directions and instructions
  • Establish and maintain effective working relationships with co-workers other agency personnel and the public
  • Communicate clearly and concisely orally and in writing

AND

Either: 1. One year of clerical experience involving the preparation and processing of legal documents for court action such as those described in the Examples of Duties. Education or training from an accredited college business school or training school that is directly related to the Knowledge and Abilities specified for this class may be substituted for a maximum of six months of the required experience (15 semester units or 22 quarter units equal six months of experience.)

Or: 2. Completion of a curriculum approved by the Department of Personnel Management in legal assisting legal secretarial or legal stenographic work.

Note: The word experience referenced in the minimum qualifications means full-time paid experience unless the minimum qualification states that volunteer experience is acceptable. Part-time paid experience may be accumulated and pro-rated to meet the total experience requirements.

Special Requirements

1. All positions in these classes require the ability to type from clear copy at the rate of 50 net words per minute.

2. Some positions in these classes may require taking oral dictation involving legal terminology. To be eligible for appointment to a short-hand-required position the applicant must have the ability to take oral dictation using any speedwriting method at the rate of 100 words per minute and transcribe at the rate of 30 net words per minute. Where the oral dictation skill is required it is used in performing the typical duties of the class as shown in the Examples of Duties above. The civil Service Commission approved the use of selective certification for this special skill on March 7 1985.
