The Job:
The State of Maine Judicial Branch is seeking a detail-oriented team player with strong customer service skills to join our team as an SC/VB Assistant Clerk. This is highly responsible clerical work in the Service Center/Violations Bureau. The Service Center/Violations Bureau is a high volume multi-faceted operation that requires the incumbent to perform the duties of a call center collection agency and a court with the ability to meet demanding deadlines daily. Extensive contact with the public requires the incumbent utilize excellent customer service skills and the ability to address sensitive and complex court inquiries. Extensive use of various databases computer systems and knowledge of basic office procedure are required.

Salary Range:
Grade 9 $20.99 to $28.39 per hour. Starting pay is $20.99 - $22.06 per hour.

Responsibilities:
Accurately performs any or all of the following:
Communicates and interacts effectively over the telephone in person and in writing with the public judges/justices attorneys litigants and various state local county and federal agencies. Incorporates appropriate voice skills and customer service techniques in all communications to promote positive interactions.
Efficiently answers incoming phone calls for the trial courts Violations Bureau and Administrative Office of the Courts while performing all other required duties.
Uses the court case management systems (MEJIS and Enterprise Justice) Service Center knowledge bank Judicial Branch website intranet and other sources of information to fully respond to public inquiries.
Incorporates appropriate voice skills and customer service techniques in all communications to promote positive interactions.
Effectively uses telephone system Brightmetrics and CallTracker software to maintain coverage for all incoming lines to manage and fully resolve a high volume of calls within target timeframes and when necessary to transfer calls to other court locations.
Works collaboratively with court staff to clarify information and provide information to callers.
Conducts records research in the court case management systems.
Uses computer applications including those designed for document sharing such as Teams docketing file management OneDrive etc.
Responsible for preparing juror correspondence including coordinating with the Bureau of Motor Vehicles to solicit names for potential jurors prepares jury lists maintains mailing supplies sends questionnaires to prospective jurors and updates juror records when mailings are returned undeliverable.
Serves as courtroom clerk and performs duties as required by the judge including technical support managing court recording equipment Zoom trials and all other types of remote courtroom proceedings assigned to the Violations Bureau.
Processes high volumes of data entry docketing mail and collection of revenue paid to or through the Service Center/Violations Bureau and maintains books ledgers and accounts as necessary.
Handles court scheduling including hearings motions and other correspondences.
Prepares abstracts suspensions and restorations for the Secretary of State and reports for the Administrative Office of the Courts Chief Judge and other agencies as directed.
Maintains professional knowledge and stays current on changing forms and court procedures.
MINIMUM EDUCATION//EXPERIENCE/TRAININGREQUIRED:
Graduation from High School or GED.
Experience providing customer service and/or clerical work and/or office administration required.
Experience responding to customer inquiries using various software and databases preferred.
KNOWLEDGE SKILLS AND ABILITIES REQUIRED
Ability to perform all job duties efficiently accurately and with attention to detail.
Ability to accurately keyboard 45 words per minute.
Ability to maintain professionalism remain calm in stressful situations and demonstrate excellent customer service skills.
Ability to understand and follow administrative and clerical procedures Judicial Branch policies legal documents and laws pertaining to the court system.
Ability to work under pressure to meet daily deadlines both individually and as a team.
Ability to perform basic mathematical functions.
Ability to multitask.
Ability to understand and follow oral and written instructions.
Basic writing spelling and grammatical skills.
Ability to learn detailed computer applications.
Ability to maintain confidentiality of sensitive Judicial Branch information.
Ability to use and care of office equipment including computers calculators copy machines postage machines fax machines folding machines and the ability to learn to use others such as cash drawers and credit card readers.
Ability to adhere to the Judicial Branch Code of Conduct including but not limited to provisions related to professionalism and confidentiality.
