The Executive Assistant for Administration and Finance Divisional Operations operates under the general direction of the Assistant Vice President of Divisional Operations in Administration and Finance and provides executive-level administrative leadership to the Senior Vice President for Administration and Finance (SVP) and the senior leadership team. This role is instrumental in facilitating the execution of high-level responsibilities and strategic initiatives supporting the Sr. Associate Vice President of Administration and Finance Services Associate Vice President of Financial Services Assistant Vice President of Divisional Operations Assistant Vice President of Divisional Operations.

The Executive Assistant manages a dynamic and high-profile calendar of strategic meetings executive briefings and divisional priorities. The incumbent prepares detailed meeting agendas and briefing materials facilitates timely communication and serves as a key liaison between the SVPs Office and senior campus and CSU system leaders. The incumbent exercises independent judgment in triaging complex issues researching policy and developing recommendations that contribute to the advancement of the universitys strategic objectives. Responsibilities span comprehensive administrative support functions including procurement and financial oversight coordination of executive travel and division-wide events facilitation of strategic meetings management of operational systems and supervision of student personnel. The role also includes oversight of sensitive information systems compliance protocols and divisional communication tools.

The Executive Assistant maintains proactive and collaborative relationships with the Office of the President Provost Chancellors Office Vice Presidents Deans faculty and community leaders. Additionally the incumbent performs analysis and provides policy recommendations that require access to confidential bargaining unit negotiations information which contributes to the development of managements position in negotiations.

The Office of the Senior Vice President for Administration and Finance supports the universitys mission by fostering a culture ofservice transparency accountability and continuous improvementin every aspect of campus operations. The Senior Vice President (SVP) is thechief administrative and financial officer of the university overseeing the stewardship of campus resources fiscal accountability operational effectiveness and the infrastructure necessary to support Cal Polys academic and student success mission. The SVP of Administration and Finance reports directly to theUniversity Presidentand serves as amember of the Presidents Cabinet working collaboratively with other university divisions to advance strategic initiatives ensure financial sustainability and maintain a safe inclusive and well-functioning campus environment. TheAdministration and Finance Divisionplays a vital role in supporting the universitys operational backbone encompassing areas such asfinance budgeting facilities public safety environmental health and safety human resources and divisional operations.

Key Qualifications

  • Demonstrated customer service experience requiring a high level of diplomacy and professionalism.
  • Demonstrated ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities and to respond appropriately to conflicts and problems.
  • Advanced public and internal relations skills to effectively represent the university leader engage and collaborate with internal stakeholders and manage relationships with external stakeholders.
  • Working knowledge of or the ability to quickly learn budgeting expenditure tracking procurement procedures and financial reconciliation across both the University and auxiliary systems.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner both verbally and in writing.

Education and Experience

Education and Experience:

  • Equivalent to graduation from a four-year college or university. Three years of technical or administrative experience. A graduate degree in a related field may be substituted from one-year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.

Licenses Certificates Credentials:

  • Possession of a valid drivers license or the ability to obtain by date of hire.

Salary and Benefits

Anticipated Hiring Range:$80000 - $110000 per year

Classification Range: $56244 - $134676 per year

Factors in determining the appropriate compensation for a role include experience skills knowledge abilities education licensure and certifications and other business and organizational needs. The Anticipated Hiring Range referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Classification Range may be broader than what the University anticipates paying for this position based on internal equity budget and collective bargaining agreements (when applicable).
