Job Summary

Job Description:

The Atlanta Regional Commission (ARC) is the regional planning and intergovernmental coordination agency that focuses on issues critical to the regions success including growth and development transportation water resources services for older adults and workforce solutions. ARC is dedicated to unifying the regions collective resources to prepare the metropolitan area for a prosperous future. This is done through professional planning initiatives the provision of objective information and the involvement of the community in collaborative partnerships.

The Management Services Specialist will support the work across multiple programs within the Aging and Independence Services Department. The role provides advanced and complex administrative support that can include transaction processing staff support and/or office coordination; provides administrative support to staff; updates website content; compiles data for reports; and processes invoices credit cards and procurement items.

Essential Duties and Responsibilities:

  • Processes and monitors status of a variety of administrative and financial transactions such as invoice payment credit card reconciliation/payment procurement forms and/or travel arrangements; coordinates internal office transaction processes.
  • Assists staff with consumer outreach and/or communication efforts by updating websites preparing email blasts; and preparing outreach and communication materials from draft copy.
  • Assists and provides support in meeting and/or event planning; coordinating event logistics and dissemination of information.
  • Provides basic research in assigned area; compiling information and entering information into related databases; extracts information from databases and creates and edits charts and reports.
  • Compiles organizes and tracks data and information; reviews and verifies data for accuracy and completion; prepares and distributes standard reports notices requests documents and/or correspondence; monitors completion authorization and timely return of applicable documents and forms.
  • Prepares organizes and maintains files logs and records; enters and updates system data; reviews and maintains schedules; photocopies documents; maintains and secures confidential and sensitive information of assigned area.
  • Provides clerical and administrative office support that may include scheduling meetings; coordinating meeting logistics; maintaining and ordering supplies; reception duties; preparing and mailing correspondence and providing customer service.
  • Performs other duties of a similar nature and level as assigned.

Minimum Qualifications:

  • High School Diploma or GED
  • Four (4) years of related administrative support or customer service experience

Or

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above unless otherwise subject to any other requirements set forth in law or regulation.

Required Knowledge Skills Abilities and Competencies:

  • Financial transaction processing such as paying invoices procurement processing and/or travel arrangements.
  • Meeting and/or event planning and logistics.
  • Basic research and data compilation methods.
  • Database operations sufficient for entering and extracting data.
  • Ability to use software applications in the creation of charts graphs and other visual documents.
  • Basic filing and record-keeping principles.
  • Customer service principles.
  • Processing and tracking transactions including financial materials and/or program applications.
  • Compiling communication materials and disseminating information.
  • Program logistical activities such as organizing meetings and/or events.
  • Following directions and meeting standards.
  • Providing attention to detail in assignments.
  • Proofreading and error correction.
  • Preparing basic reports and documents from established information or by following a standard format.
  • Maintaining and updating data and documentation.
  • Organizing and maintaining records and files.
  • Maintaining confidential information.
  • Utilizing a computer and relevant software applications.
  • Utilizing communication and interpersonal skills as applied to interaction with coworkers supervisors the general public and others to sufficiently exchange or convey information and to receive work direction.
