Job Description:

We are seeking a highly organized and detail-oriented Administrator I-Engineering to join our dynamic engineering team. The ideal candidate will provide administrative and technical support to our engineers ensuring that projects are completed efficiently and effectively.

  • Assist engineers with the preparation of project documentation including reports proposals and presentations.
  • Coordinate and schedule meetings appointments and travel arrangements for the engineering team.
  • Maintain and organize engineering records including drawings specifications and project files.
  • Support the procurement process by liaising with suppliers obtaining quotes and tracking orders.
  • Assist with the management of project timelines and deliverables to ensure deadlines are met.
  • Help with the implementation and maintenance of engineering systems and software.
  • Collaborate with cross-functional teams to facilitate communication and project progress.
  • Ensure compliance with company policies industry standards and regulatory requirements.
  • Provide general administrative support such as data entry filing and responding to correspondence.
    - Manage office supplies inventory and place orders as necessary.
    - Perform receptionist duties: greet visitors answer and direct phone calls.
    - Schedule and coordinate appointments and meetings.
    - Maintain a clean and organized office environment.
    - Assist in the preparation of regularly scheduled reports.
    - Support team by performing tasks related to organization and strong communication.
    - Develop and maintain a filing system.
    - Update and maintain office policies and procedures.
    - Handle sensitive information in a confidential manner.
    - Coordinate with IT department on all office equipment.
    - Ensure that all items are invoiced and paid on time.
    - Manage contract and price negotiations with office vendors and service providers.
    - Provide general support to visitors.
    - Act as the main point of contact for suppliers couriers building management and any other external parties as well as key internal organizations such as Finance Logistics and Operations.
    - Provide support and coordination for shipping and logistics (internal shipments) and undertake Administrator Role for Shipping Authorization (SA) system

Requirements/Qualifications:

  • Associates degree in Engineering Technology Business Administration or related field; Bachelors degree preferred.
  • The ideal candidate must be available to work a minimum of 25 hours per week.
  • Proven experience as an assistant in an engineering or technical environment is a plus.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with engineering software.
  • Ability to work independently and as part of a team.
  • Keen attention to detail and problem-solving skills.
  • Knowledge of project management principles and practices.
