Key Responsibilities: | |
1. | Provide clerical support to the Department including routine office administration coordination of various departmental functions and handling of enquiries and assist in organizing functions and events for the department. |
2. | Work shift to provide 24-hour coverage of telecommunication service to internal and external users e.g. handle telephone enquiries receive and direct phone calls to the appropriate departments and to relay important and urgent message to hospital staff. |
3. | Operate the hospitals telephone system paging and all relevant communication systems. |
4. | Respond the calls and enquiries from internal and external parties (including public) and associate the calls and enquiries to appropriate parties. |
5. | Operate hospitals Integrated Telecommunication System and respond to emergency disaster calls. |
6. | Update and manage the call groups canned messages telephone directories etc. |
7. | Perform clerical duties including typing/word processing and filing/record management. |
8. | Consolidate and compile data and prepare reports using Microsoft Office applications. |
9. | Assist supervisor to perform the services commissioning of telephone operator and enquiry services to new hospital premises. |
10. | Assist in handling ad hoc projects. |
11. | Perform shift duty when required including overnight shift on duty during typhoon / black rainstorm and other emergencies. |
12. | Perform other duties as assigned by supervisors. |
Entry Requirements: | |
1. | (a) Passes in 5 subjects in the Hong Kong Certificate of Education Examination including English Language (Syllabus B) Chinese Language and Mathematics or equivalent; |
OR | |
(b) 5 subjects in the Hong Kong Diploma of Secondary Education attaining the level specified below: | |
Level 2 in English Language Chinese Language and Mathematics; and | |
Level 2 in New Senior Secondary subjects / Attained in Applied Learning subjects / Grade E in Other Language subjects; or equivalent; | |
2. | Ability to perform typing word processing and / or Chinese word processing. |
Preferred Attributes / Exposure: | |
1. | Relevant work experience in Customer Service Receptionist duties or Telephone Operator is preferable. |
2. | An excellent command of written and spoken English and Chinese (Cantonese and Putonghua); |
3. | Meticulous and self-motivated; |
4. | Strong sense of responsibility strong communication interpersonal and execution skills; |
5. | Ability to demonstrate flexibility work independently and work under tight schedule. |
6. | Proficient in computer literacy with good knowledge of common office automation (e.g. operation of fax machine) and PC applications (as specified by user department). |
