About the Role
Beehive BPO is seeking a highly organized and detail-oriented Scheduler to manage one of the most critical coordination points in our operations: template appointment scheduling and routing.
In this role you will ensure that template appointments are accurately scheduled properly confirmed efficiently routed and aligned with shop and field capacity. Your work directly impacts fabrication timelines installation schedules and overall customer satisfaction.
Key Responsibilities
Scheduling & RoutingSchedule all template appointments in accordance with company policies and management direction
Route template appointments at least two business days in advance to ensure proper technician capacity and efficient travel time
Sequence jobs to support smooth production flow and on-time installations
Customer ConfirmationPerform confirmation and reminder calls with homeowners
Send and monitor confirmation messages via Jmail (text and email)
Track customer responses and follow up until appointments are fully confirmed
Daily Execution & CoordinationMonitor jobs marked as Ready to Schedule and move them into the calendar promptly
Handle inbound calls and emails related to scheduling concerns or changes
Identify scheduling conflicts missing details or readiness issues and escalate when necessary
Operational Accuracy & ControlMaintain accurate up-to-date scheduling systems and records
Log confirmations responses exceptions and schedule adjustments
Proactively prevent last-minute changes missed appointments and avoidable reschedules
Requirements
Qualifications
At least 2 years of experience in scheduling dispatching or coordination roles
Strong organizational skills with the ability to manage high-volume scheduling
Excellent verbal and written communication skills
Experience coordinating with field teams technicians or operations staff
High attention to detail and accuracy in data entry and record-keeping
Ability to prioritize tasks and manage multiple schedules simultaneously
Comfortable working in a fast-paced deadline-driven environment
Experience using scheduling software or CRM systems (Moraware experience is a strong advantage)
Proficient with email phone systems and internal tracking tools
