About the Role:
The Surgery Scheduler is a healthcare-critical position responsible for managing surgical bookings coordinating resources and ensuring accurate documentation across clinical and administrative teams within an Ambulatory Surgery Center (ASC). Accuracy and compliance are non-negotiable in this role as they directly impact patient care and operational success. Candidates must have proven exposure to US healthcare systems terminology and medical coding and must be able to reliably support EST working hours. The ideal candidate demonstrates strong reliability organizational structure sound judgment and the ability to operate confidently in a high-responsibility detail-driven environment.
Key Responsibilities:
Surgical Scheduling and Coordination
- Schedule surgical procedures by accurately obtaining and entering booking details into the scheduling system
- Verify procedure codes and scheduling details using ICD-10 CPT HCPCS and CMS guidelines
- Coordinate special equipment and surgical instrument requirements with OR staff or clinical leadership
- Maintain real-time updates for schedule changes cancellations and case details
Communication and Cross-Team Collaboration
- Build strong working relationships with physician office schedulers
- Distribute final surgery schedules 2 to 3 days in advance for review
- Cross-reference clinic and surgery schedules to ensure alignment
- Escalate patient or scheduling issues to appropriate internal teams
- Communicate clearly professionally and confidentially at all times
Documentation and Administrative Support
- Prepare and deliver patient charts prior to scheduled procedures
- Support assigned special projects and administrative tasks
- Provide additional operational support to surgery center teams as needed
Qualifications & Skills
Hard Skills:
- Minimum 2 years experience in a medical office hospital or healthcare administrative environment
- Prior medical scheduling experience is required
- Strong knowledge of medical and orthopedic terminology
- Familiarity with Medicare managed care and commercial insurance plans
- Working knowledge of CPT HCPCS ICD-10 codes and CMS regulations preferred
- Strong computer literacy with high data-entry accuracy
- Typing speed of at least 30 WPM; ten-key proficiency preferred
- Comfortable using EMRs and medical scheduling systems
Soft Skills:
- Highly organized with strong attention to detail
- Excellent time management and ability to meet deadlines
- Dependable and able to work independently with minimal supervision
- Proactive communicator who collaborates effectively across teams
- Patient-first mindset with empathetic and professional communication
- Adaptable to change and open to feedback
- Sound judgment on when to escalate issues
