Job Overview
Executive & Stakeholder Support
Provide comprehensive administrative support to senior leadership interacting professionally with external stakeholders (government and corporate) and internal groups including executives the Board and line management.
Correspondence & Document Management
Draft review format and manage routine and non-routine correspondence and materials; research and compile supporting information; ensure accuracy confidentiality and quality of all finalized documents.
Meeting & Governance Coordination
Plan and coordinate meetings end-to-end including agendas logistics quorum confirmation materials preparation attendance tracking and recording minutes or providing in-meeting administrative support.
Time Priority & Workflow Management
Assist in setting priorities managing schedules tracking deliverables coordinating access to leadership and maintaining follow-up and bring-forward systems to ensure deadlines are met.
Mail Email & Information Flow Control
Receive screen prioritize distribute and track incoming and outgoing correspondence (including confidential materials) highlighting key issues and assembling background information to support timely decision-making.
Records & Information Management
Establish maintain and dispose of physical and electronic records in accordance with retention schedules security requirements and corporate policies.
Administrative & Clerical Operations
Process reports forms travel arrangements expense claims purchase orders and routine administrative transactions; review submissions for compliance accuracy and policy adherence.
Technology Equipment & Operational Support
Maintain proficiency with office systems and equipment; perform minor troubleshooting train others as required coordinate workspace and IT changes and provide backup administrative support during peak workloads or absences.
Qualifications
- Minimum of 2 years of experience in an administrative support role.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software.
- Ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
- High level of discretion and confidentiality.
- Strong problem-solving skills and the ability to work independently.
- Excellent interpersonal skills and the ability to work effectively with all levels of the organization.
